We seek an Executive Support Specialist to work directly with the founder, managing schedules, ensuring task execution across teams, and streamlining business and personal responsibilities.

Key Responsibilities:

  1. Follow-ups & Execution Across Departments
    1. Track key deliverables and ensure completion across teams (Marketing, Growth, Social Media, Customer Support, HR, etc.).
    2. Follow up rigorously with department heads to ensure deadlines are met.
    3. Maintain a Delegation & Follow-up Sheet to track progress and bottlenecks.
    4. Handle escalations and keep the founder informed.
  2. Calendar & Task Management
    1. Manage and organize the founder's schedule, meetings, and daily priorities.
    2. Ensure all commitments, appointments, and follow-ups are met on time.
    3. Act as a gatekeeper, prioritizing urgent matters and filtering non-essential tasks.
  3. Communication & Reporting
    1. Serve as a liaison between the founder and different teams.
    2. Draft and manage emails, reports, presentations, and meeting notes.
    3. Consolidate updates from various departments and provide structured summaries.
    4. Organize weekly/monthly review meetings with clear agendas and action points.
  4. Research & Strategy Support
    1. Conduct research on business expansion, competitor analysis, and market trends.
    2. Prepare briefing materials, reports, and executive summaries for decision-making.
    3. Assist in drafting strategy documents and presentations.
  5. Office Administration & Personal Assistance
    1. Oversee office coordination and support operational tasks.
    2. Arrange travel bookings, appointments, and vendor management.
    3. Handle personal tasks such as scheduling, household coordination, and other administrative support.

Requirements

• 3-5 years of experience as an EA, PA, or Office Coordinator

• Background in E-commerce or Digital-first Businesses

• Highly proactive, self-motivated, and comfortable managing multiple stakeholders

• Ability to work independently and take ownership of responsibilities
