About this Role

This is a senior-level bookkeeping position that requires the candidate to have experience in managing financial books for multiple locations, ensuring timely period closes, and delivering unit economics.

Key responsibilities include owning daily posting and month-end close for multiple locations, maintaining standardized chart of accounts by brand, reconciling bank/credit card/merchant accounts and third-party delivery or marketplace deposits, matching POS sales to deposits, and resolving over/short cash variances.

In addition, the successful candidate will integrate and reconcile data from various systems, maintain clean bank feeds and mapping rules, and support exports from FranConnect or similar franchise systems.

The role also involves recording daily sales summaries, tracking inventory/COGS and waste, posting landed costs, and helping implement perpetual or period inventory where applicable.

Furthermore, the candidate will manage deferred revenue, run three-way match for vendor bills, process payments, credit memos, and vendor statements, manage W-9 collection and 1099-NEC vendor lists, set and monitor cash-handling controls and deposit cadence.

The ideal candidate will prepare payroll inputs, reconcile payroll journals, coordinate with providers, track labor % by location/department and accrue payroll taxes/benefits as needed.

This role also requires preparing sales/use tax workpapers across states, coordinating e-filings, supporting CPA with 941/940, state filings, and annual returns, and maintaining audit-ready records.

The candidate will deliver location P&L, balance sheet, cash flow and consolidated roll-ups on a 4-5-4 retail calendar or monthly close, build simple KPI packs, flag anomalies and actionable insights, and provide recommendations for improvement.

Requirements

  • 3+ years of experience in SMB or franchise bookkeeping, preferably multi-unit.
  • Proficient with QuickBooks Online or Xero, with hands-on experience with at least one POS and marketplace/aggregator reconciliations.
  • Working knowledge of U.S. GAAP basics, sales tax, payroll journal entries, and multi-state nuances.
  • Strong Excel/Google Sheets skills, with ability to create pivot tables, lookups, and basic modeling.
  • Detail-obsessed, organized, and comfortable owning deadlines across multiple clients.
