We are seeking a skilled professional to design and implement an end-to-end automation system for our back-office operations.

The goal is to replace manual administrative tasks with reliable, automated processes that meet compliance standards.

Key Responsibilities:

  1. Develop document automations, including receipts, contracts, audit packs, and authority forms.
  2. Create workflows for one-click actions in Slack, such as receipt generation, contract signing, and audit pack processing.
  3. Configure and optimize Pipedrive CRM fields, automations, and deal stages for efficient lead management.
  4. Automate document generation from Google Docs to PDF to email to Drive storage for seamless workflow execution.
  5. Integrate DocuSign for secure e-signature workflows.
  6. Automate onboarding processes for Property Management tools, including PropertyMe/MRI, for streamlined user access.
  7. Route leads from marketing funnels, such as ClickFunnels/GoHighLevel, and classify them using AI-powered algorithms.
  8. Build compliance workflows, including intake checklists, missing-doc reminders, and SLA trackers, to ensure regulatory adherence.
  9. Design dashboards and reporting for key performance indicators (KPIs), marketing attribution, and pipeline tracking for data-driven decision making.
  10. Evaluate and ensure all workflows meet security, compliance, and reliability standards.
  11. Provide documentation, diagrams, and runbooks, plus training for internal users, to facilitate knowledge sharing.

Requirements:

  1. Prior experience with no-code automation platforms, such as Make.com/Integromat, Zapier, n8n, etc.
  2. In-depth knowledge of Slack integrations and app workflows for seamless communication.
  3. Experience with CRM automation, particularly with Pipedrive, for effective lead management.
  4. Familiarity with Google Workspace automation, including Docs, Drive, and Sheets, for efficient document processing.
  5. Knowledge of DocuSign API/integration for secure e-signatures.
  6. Ability to integrate with Property Management tools, including PropertyMe/MRI and BGL Simple Fund 360, for streamlined user access.
  7. Understanding of compliance-sensitive workflows, particularly in finance, property, or legal, for regulatory adherence.
  8. Strategic thinking: able to map complex business processes into structured, automated workflows.
  9. Excellent communication skills and strong documentation habits for effective knowledge sharing.

Nice to Have:

  1. Experience with AI-driven automations, such as lead classification and knowledge bots, for enhanced workflow efficiency.
  2. Familiarity with Australian property or SMSF compliance for tailored workflow implementation.
  3. Prior experience building error handling and monitoring dashboards for proactive issue resolution.
