Job TitleA Project Management Specialist will assist in the preparation of work plans, budgets, and financial forecasts.Experience in capacity building and knowledge of organizations;Excellent interpersonal relationships, group ease, and interview skills.Responsibilities:Core ResponsibilitiesAssist PMU/DIUs in preparation of annual work plan along with budget for each component;Assist PMU/DIUs in preparation of monthly, quarterly financial forecast, and other documents necessary for disbursement from JICA;Assist PMU/DIUs in procurement of services and material.Assist DIUs in preparation of Statement of Performance (SOP) and/or Statement of Expenditure (SoE) before periodic claims submission to JICA for reimbursement;Verify the expenditure reported by the DIU and consolidate in the prescribed format of JICA.Follow up with DIUs for submission of SOP and SOE on a monthly basis in time along with all supporting vouchers and documents.Assist PMU in preparation of Statement of Performance (SOP) and/or Statement of Expenditure (SoE) before periodic claims submission to JICA for reimbursement;Assist in the preparation of JICA fund disbursement, expenditure and reimbursement claims periodically along with supporting documents.Preparation of information / report / road map etc. as per directions of Project Management Unit.Maintenance of accounts in computerised accounting system (e.g. Tally etc.).Provide training to all DIU staff for maintaining project accounting expenditure and receipts as per the JICA project norms.Maintain grant ledgers and expenditure ledgers for the all the component budget heads.Follow up with the internal/external auditors of the project during the audit. Also assist in coordinating financial audit as required by the JICA.Prepare the audit query response for the queries raised by the auditors in course of time.Assist PMU to keep the record of the assets procured under the project.Coordinate with CAG auditors during the course of audit. All records kept in full shape to produce before the auditor.Preparation of MIS report monthly/quarterly for review of the PEC.Prepare presentations for the review meetings about financial and activity progress.Any other related work assigned by authorities of Project.
