About the RoleWe are seeking a detail-oriented and proactive Administrative Executive to serve as the organizational backbone of our operations across all office locations. This role requires someone who excels at documentation, maintains meticulous records, and can juggle multiple administrative responsibilities while ensuring smooth day-to-day operations.Key Responsibilities:Documentation & CommunicationPrepare, review and maintain all organizational documents, records and files with high accuracyDraft internal memos, circulars, letters and official correspondenceMaintain centralized documentation systems accessible to all office locationsEnsure timely filing and archival of important documentsMulti-Office CoordinationServe as the central coordination point for administrative needs across all office locationsMaintain systematic tracking of administrative requirements, deadlines and deliverablesCoordinate with teams across locations for seamless information flowFinancial & Banking AdministrationMaintain and organize banking documentation and recordsTrack financial administrative requirements and coordinate with accounts teamHandle petty cash management and expense documentationOffice ManagementOversee pantry supplies, inventory and vendor managementCoordinate procurement of office supplies, stationery and general requirementsManage vendor relationships for various administrative servicesEnsure maintenance of office assets and equipmentGeneral AdministrationHandle travel arrangements, accommodation bookings for staff and visitorsCoordinate meetings, events and maintain organizational calendarsSupport HR with documentation for onboarding, attendance and other administrative processesEssential Qualifications:Graduate degree (any discipline); preference for Commerce/Business Administration/Management2-4 years of proven administrative experience, preferably in NGO/development sectorExcellent written and verbal communication skills in English, Hindi and GujaratiStrong proficiency in MS Office (Word, Excel, PowerPoint)Understanding of basic accounting and banking processes (preferred)Must-Have Traits & Skills:Exceptional organizational skills - ability to create and maintain systematic filing, tracking and documentation systemsStrong written communication - clear, professional writing for memos, letters and internal documentationDetail-oriented - catches errors, maintains accuracy in records and follows through on tasksMulti-tasking ability - comfortable handling diverse responsibilities simultaneously without losing trackProactive approach - anticipates needs and takes initiative without constant supervisionReliability - consistent follow-through on commitments and deadlinesInterpersonal skills - ability to coordinate with diverse teams and external vendors diplomaticallyTech-savvy - quick to learn new tools and comfortable with digital documentation systemsWhat Makes a Candidate Stand Out:Experience managing administration for multiple locationsFamiliarity with non-profit compliance and documentation requirementsExperience with Google Workspace/collaborative toolsVendor negotiation skillsKnowledge of local market for procurement in AhmedabadHow to ApplyPlease send your application (cover letter and updated resume) to tahr@ashrayfoundation.org  mentioning “Administrative Executive” in the subject line.
