Visteria is a luxury travel curation company known for providing Luxurious & Experiential travel curation to its clients . We are seeking a highly organised and detail-oriented Executive Assistant / Travel Assistant to provide exceptional back end operations & administrative support with a particular emphasis on managing travel-related activities for our clients. Responsibilities:

* Travel Coordination:

  * Plan and coordinate domestic and international travel arrangements for executives, including flights, accommodations, ground transportation, and other logistics.

  * Ensure all travel plans align with executives' schedules and preferences.

  * Handle changes, cancellations, and last-minute adjustments effectively.

* Itinerary Management:

  * Create detailed travel itineraries, including meeting schedules, appointment details, and relevant contact information.

  * Provide executives with comprehensive travel packs, ensuring they have all necessary documents and information.

* Expense Management:

  * Track and manage travel-related expenses, ensuring adherence to company policies.

  * Prepare and submit timely expense reports, maintaining accurate records.

* Calendar Management:

  * Assist in managing executives' calendars, scheduling meetings, and coordinating appointments to optimize their time.

* Communication Liaison:

  * Act as a primary point of contact between executives and internal/external stakeholders during travel.

  * Ensure executives remain connected and informed while on the move.

* Document Preparation:

  * Assist in the preparation and editing of documents, presentations, and reports.

  * Handle confidential information with discretion.

* Event Coordination:

  * Assist in planning and coordinating corporate events, conferences, and meetings, including logistics, travel, and accommodations.

* Task Prioritization:

  * Prioritize and manage multiple tasks efficiently to meet deadlines and support executives in a dynamic work environment.

Requirements:

* Proven experience as an Executive Assistant or in a similar role.

* Excellent organizational and time-management skills.

* Strong attention to detail and problem-solving abilities.

* Proficient in travel management tools and Microsoft Office Suite.

* Exceptional communication and interpersonal skills.

* Discretion and confidentiality in handling sensitive information.

* Flexibility to adapt to changing priorities and travel schedules.
