Manager AdministrationPosition OverviewThe Manager Administration will be responsible for managing all administrative, operational, and facility-related activities at iFOREST. The role requires an organized and proactive professional who can ensure smooth daily operations and coordination across teams. You will handle office management, procurement, vendor coordination, travel arrangements, and overall infrastructure, while maintaining a supportive and efficient work environment.About iFOREST iFOREST is an independent not-for-profit research and innovation organisation that was established in 2019 to identify, promote and scale up solutions for pressing environment development challenges in India and other developing countries in Asia and Africa. Our work is rooted in regional priorities to accelerate environmental actions at the sub-national level and to improve national policies and plans to support it. Our mission is to address the unique needs of regions by leveraging our resources and expertise to scale up national action and make a global impact. We use our regional knowledge to inform national policy and plans and strengthen international collaboration. To achieve our goals, we conduct independent evidence-based research, develop new knowledge and innovative solutions, convene stakeholders to increase awareness and build consensus, and partner with think tanks, civil society, government agencies, philanthropies and industry to scale up solutions. Location: NoidaKey Responsibilities1. Office Administration and OperationsOversee and ensure smooth functioning of all administrative and operational activities across iFOREST offices in India.Ensure smooth functioning of CEO’s office.Manage office infrastructure, maintenance, procurement of office supplies, and equipment.Ensure timely payment of utility bills.Supervise administrative staff and ensure timely execution of tasks and responsibilities.On-ground support for iFOREST events on an as per need basis.2. Procurement and Vendor ManagementManage procurement processes in line with organizational policies and budgets.Negotiate and maintain contracts with vendors, service providers, and suppliers.Ensure quality, cost efficiency, and transparency in all procurement processes.Manage the visitors/guests in the Noida office. 3. Travel and Event LogisticsOrganize and oversee domestic and international travel arrangements for employees & CEO, including bookings, reimbursements, and compliance with travel policies.Coordinate logistics for workshops, conferences, and meetings (venue, catering, accommodation, etc.).4. Compliance and Record ManagementMaintain administrative MIS related to office operations.Support HR and Finance teams whenever required.Ensure confidentiality and security of organizational documents and data.5. Infrastructure and Facility ManagementOversee office space planning, safety protocols, and facility improvements.Liaise with building management and external agencies for utilities, housekeeping, and security services.Qualifications and ExperienceBachelor’s degree in Business Administration, Management, or related field (Master’s preferred).Minimum 5-8 years of experience in administration, operations, or facilities management; experience in NGOs, think tanks, or research institutions preferred.Strong understanding of procurement, compliance, and organizational systems.Proven ability to manage teams, vendors, travel and multiple priorities effectively.Excellent communication, interpersonal, and problem-solving skills.Ability to do multitasking.Proficiency in MS Office Suite.What We Offer At iFOREST, we provide an inclusive and supportive work environment.
