We are seeking a highly organized, proactive, and discreet Secretary to provide comprehensive administrative and strategic support to the Chief Human Resources Officer (CHRO) . The ideal candidate will be a professional who thrives in a fast-paced environment, excels at managing complex schedules, and handles confidential information with the utmost integrity. This role requires exceptional communication skills and the ability to interface with all levels of the organization, including the executive leadership team and Board members. Key Responsibilities Executive Support & Schedule Management: Manage and maintain the CHRO's demanding calendar, including scheduling meetings, appointments, and conferences, and resolving scheduling conflicts efficiently. Coordinate complex domestic and international travel logistics, including flights, accommodations, ground transportation, and preparing detailed itineraries. Manage and reconcile expense reports for the CHRO in compliance with company policy. Communication & Information Management: Act as the primary point of contact for internal and external stakeholders on matters pertaining to the CHRO, including filtering and prioritizing communications. Draft, proofread, and edit correspondence, presentations, reports, and other documents for the CHRO, ensuring accuracy and professional quality. Handle confidential and sensitive information with discretion and professionalism. Meeting & Event Coordination: Organize and coordinate high-level meetings, including Leadership Team, Board of Directors and HR Committee meetings. Prepare and distribute meeting agendas, materials, and presentations well in advance. Attend meetings, take comprehensive minutes, and track follow-up actions to ensure timely completion. HR Project & Administrative Support: Support the coordination of key HR initiatives and projects as directed by the CHRO. Maintain an organized filing system (physical and electronic) for all key documents and records. Facilitate efficient workflow and processes within the CHRO's office. Required Qualifications Education: Bachelor's degree preferred. Experience: Minimum of 5+ years of experience supporting a C-level executive (CHRO, CEO, CFO, etc.) in a large or fast-paced organization. Proven experience working with a Board of Directors or executive committees is highly desirable. Skills & Competencies: Impeccable communication skills (written and verbal). Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools. Exceptional organizational and time management skills , with a proven ability to multi-task and prioritize competing demands. High level of discretion and integrity when handling confidential and proprietary information. Strong problem-solving skills and a proactive, "can-do" attitude.
