Job Summary:
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be adept at multitasking, possess excellent communication skills, and be able to manage a fast-paced work environment. This role requires a high degree of professionalism, confidentiality, and the ability to work independently.
Key Responsibilities:
Administrative Support: Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
Communication: Act as the primary point of contact between executives and internal/external stakeholders, handling inquiries and correspondence.
Meeting Coordination: Prepare agendas, take minutes, and follow up on action items from meetings.
Document Management: Draft, review, and edit correspondence and reports; maintain organized files and records.
Project Assistance: Support the execution of special projects by coordinating tasks, resources, and timelines.
Travel Coordination: Arrange complex travel itineraries and accommodations, ensuring all travel plans align with the executive's preferences and schedules.
Budget Management: Assist in monitoring and managing budgets for various projects and activities.
Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
Qualifications:
Education: A bachelor’s degree in business administration, communications, or a related field is preferred.
Experience: 3+ years of experience as an executive assistant or in a similar role, preferably in a fast-paced environment.
Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
Communication Skills: Exceptional verbal and written communication skills.
Organizational Skills: Strong organizational and time-management abilities; attention to detail is crucial.
Problem-Solving: Ability to anticipate needs and proactively address issues.
