Job Description

Security:

Participate in process of deployment of security agency & thereafter renewals, etc.

Developing and implementing security policies and procedures.

Conducting risk assessments to identify vulnerabilities and mitigate threats.

Coordinating security plans for events or special circumstance.

Overseeing security staff, including hiring, training, and scheduling.

Conducting regular briefings and ensuring the team is informed about updates or potential threats.

Ensuring the safety and security of personnel, facilities, and sensitive information.

Managing systems such as CCTV, access control, and alarm systems.

Responding to security breaches, emergencies, or incidents swiftly and effectively.

Investigating security-related incidents and creating detailed reports for management

Ensuring the organization adheres to all relevant safety and security regulations.

Collaborating with law enforcement or external security agencies when necessary.

Regular coordination with security agencies for payment processing, attendance, staff trainings, etc.

Company Cars (Leased & Owned):

To handle buying or lease requirement of cars as per business needs.

Ability to coordinate with dealers / service authorized team for high end vehicles.

Implementing procedure for effective controls on overall spend in this area.

Keeping detailed logs of vehicle maintenance, mileage, and fuel consumption.

Maintaining registration, insurance, and other required documentation for each vehicle.

Ensuring all vehicles comply with traffic regulations and company policies.

Addressing concerns related to vehicle safety standards.

SPOC and assisting point between car leasing agency and staff and managing car leasing invoicing, other support.

Coordinating regular vehicle maintenance and ensuring timely repairs.

Monitoring inspection schedules to comply with safety regulations.

Statutory Compliances

Well versed with compliance & statutory obligations related to labour/ safety/ environmental regulations, and other applicable laws such as Shops and Establishment, Maternity Benefits Act, Maharashtra Labour Welfare etc.

To coordinate with contractors for compliance and wages aspect from time to time.

Maintain necessary records for internal & external audits and inspections.

Tracking of S&E, Labour License and other time bound licenses and permits for renewal.

Submission of annual / bi-annual / quarterly / monthly returns to relevant authorities from time to time.

Assist team for insurance, Mediclaim, PF, ESIC and other benefits management.

Tracking leave records, statutory bonus, etc. for contractual staff.

General Administration

To collaborate with admin colleagues for drafting and implementing various processes and guidelines.

Participate in handling various events, functions and celebration activities.

Managing office supplies, equipment, and general maintenanceon skills

Skills & Competencies:

Minimum 10+ years of work experience in a similar profile.

Strong ability to manage multiple tasks, prioritize effectively, and maintain an organized office environment.

Excellent verbal and written communication skills for interacting with staff, management, and external parties.

Good knowledge of drafting guidelines, procurement processes, labour laws and other statutory provisions related to commercial establishment.

Well versed with MS Office suite and familiarity with relevant software and tools.

Experience in drafting SOP & Guidelines for Administration function will be an added advantage.

Expertise in budgeting, MIS and preparing various reports.

Internal: Executives and Senior Management, Administrative and Support Staff, Department Heads,All Employees

External: Clients and Customers, Vendors and Service Providers, Visitors and Guests.
