Job Description Job Title: Assistant Manager- Procurement Function: Procurement Location: Mumbai Req ID:R-1171513 MAIN JOB PURPOSE - The Procurement hub in India has emerged as the biggest Procurement hub across the globe with 275 FTE positions based in India - The India Procurement leadership team (IPLT) has been created with 1 VP and 9 Procurement Directors ( 10 WL3+) - In this role you will provide proactive and high-level business support to the India Procurement Leadership Team ( 1 VP Procurement and 4-5 Procurement Directors). - The Procurement function requires an assistant who is a self-starter with attention to detail, who can interact regularly with all Procurement Leaders within India as well as global Procurement Leadership. - You must be capable of managing your own time flexibly and effectively, juggling day to day tasks as well as proactively spot opportunities to add value to the business. - In addition to the core assistant work, this role is accountable for coordinating the strategic Programs of Procurement. - We seek a candidate who will spend time working on the tasks as described below, take time for your own development, and specifically want to challenge yourself to have a greater impact across the function you are supporting. JOB SUMMARY - Complex diary management - arrange meetings on a daily basis, both virtual and in person across multiple time zones, and reschedule as needed for all IPLT Members - Organization of international and local travel, including preparations of itineraries and travel logistics, visa applications, and the management of out-of-office requirements - Sending meeting invitations, agendas, minutes, and other communications on behalf of leaders - Maintaining departmental lists, manage distribution of internal communications and meeting invites, and ensure proper maintenance for new joiners and leavers - Coordinate, schedule, and track Procurement Overheads Budget with support from finance and Temporary Positions with support from HR. - Manage the allocations of global and local travel expenses, working with finance - Look at value creation and cost reduction opportunities in all areas of administrative expenses - Contribute actively as part of the Talent and Culture Squad and drive KPIs as per the squad deliverables - IPLT Governance of Squads - Work with various Squad Leads to ensure squad meetings are arranged timely according to the schedules. - Prepare PowerPoint presentations, Excel spreadsheets, (PowerBI) reports and materials for meetings as per requirements of IPLT Members. - Liaise with internal and external business partners and supplier contacts . - Proactively tackle issues related to (administrative) processes to ensure speed and efficiency, improving them for the IPLT and the Procurement team - Process expenses, purchase requests, and invoices using relevant systems - Organize occasional in-person meetings on site or offsite, including coordination of country visits and LT meetings.
