Founders Office Associate

Job Description Love Letter is looking for a high-trust, high-ownership Founder's Office Associate to work directly with the founder and act as the central execution engine of the business. This is not a siloed role. You will help the founder translate decisions into action, ensure follow-through across teams, vendors, and systems, and keep the business running cleanly day-to-day. You will be exposed to operations, merchandising, launches, trade shows, customer experience, and admin, while also supporting the founder with whatever needs to move forward that day. What You'll Do Founder Support & Business Execution - Work directly with the founder on daily priorities and execution - Take ownership of tasks once briefed no reminders needed - Track open items across operations, production, vendors, and launches - Follow up with teams and vendors to close loops - Anticipate gaps, delays, and risks before they become problems - Act as the second brain for execution and follow-through Order, Fulfilment & Daily Operations - Process daily Shopify and Marketplace orders and coordinate dispatch - Maintain 2448 hour dispatch timelines - Track and reduce NDR/RTO - Ensure packaging materials are stocked at all times Inventory, Merchandising & Production Admin - Maintain accurate inventory across Shopify - Update stock post-production and dispatch - Create and maintain product listings (SKUs, variants, materials, tags) on Shopify - Run stock reconciliations and flag low-stock SKUs - Maintain master inventory, vendor, and production tracking sheets - Raise purchase orders and track vendor deliveries Launch & Collection Coordination - Prepare product upload and launch sheets - Coordinate photoshoots (samples, labeling, missing pieces) - Ensure new capsules go live on time and error-free - Cross-check pricing, variants, SEO tags, and product data Trade Show & Wholesale Admin - Track sample production for international trade shows - Prepare labels, barcodes, product bundles, and documentation - Coordinate shipping of samples (couriers, paperwork, timelines) - Prepare post-show order sheets and follow-ups - Maintain wholesale line sheets (admin and data accuracy) Customer Experience Support - Handle escalations when required - Coordinate resolutions for delays, damages, and returns - Ensure smooth backend closure of CX issues General Admin & Reporting - Maintain vendor credit and payment tracking - Prepare basic Excel reports (inventory, orders, production status) - Keep all operational files clean, updated, and organized - Ensure nothing falls through the cracks ever Who This Role Is For Someone who loves execution more than ideation Comfortable wearing multiple hats and switching contexts quickly Highly accountable once it's yours, it's done Thrives in a fast-moving, slightly unstructured environment Enjoys building order out of chaos Finds pride in smooth operations and clean systems Skills & Experience 13 years of experience in operations, founder's office, or similar roles Strong organizational and follow-through skills High attention to detail (SKUs, stock, pricing, variants) Comfortable with Excel and Google Sheets Familiarity with Shopify or D2C ops preferred Experience with startups, small brands, or fashion labels is a plus Personality Fit Loves checklists and trackers Gets satisfaction from closing loops Calm under pressure Proactive, not reactive Treats execution like a responsibility, not a task list Location: In-person, Gurgaon Joining: Immediate Employment Type: Full-time If you are a reliable, sharp executor who wants to work closely with a founder and learn how a brand is actually built day-to-day, we'd love to hear from you.
