Job Summary: We are seeking a dynamic and results-oriented Facility and Operations Manager to oversee and manage a variety of operational functions. The ideal candidate will be responsible for stakeholder management, procurement, budgeting, asset management, lease and facility management, legal and compliance adherence, insurance management, and space optimization.

Key Responsibilities:

  • Stakeholder Management: Communicate strategies and updates to business stakeholders and translate their feedback into actionable tasks to drive operational efficiency.
  • Procurement & Vendor Management: Lead vendor management activities including cost-benefit analysis, negotiations, and end-to-end procure-to-pay processes.
  • Budgeting & Projections: Accountable for budget planning, cost management, and driving savings across operational activities.
  • Fixed Asset Management: Oversee asset acquisition, allocation, insurance, claims, tagging, repair, maintenance, disposal, and reconciliation for and all subsidiaries. Present monthly asset MIS reports to the Group CFO and Director of Administration for cost control.
  • Lease Management: Manage new office searches, setup, and implement low-cost optimization solutions. Ensure the workspace vision, standards, and policies are adhered to, and drive timely decisions and frequent audits for delivery.
  • Facility Management: Provide direction to facilities management teams (both direct reports and outsourced vendors) overseeing day-to-day operations at office locations.
  • Legal & Compliance, Tax, and Risk Management: Advise on legal terms for commercial contracts and leases, entity setup, and the impact on leasing and special economic zones. Ensure compliance with local and federal regulations pertaining to building operations, including Environmental Health & Safety (EH&S) and environmental norms.
  • Insurance Management: Oversee and manage all insurance policies, including office package policies, group term life, group medical cover, and liability insurance for and its subsidiaries.
  • Space Management: Conduct timely reviews of seat occupancy and vacancy status to maximize space utilization, reducing unnecessary rental expenses.
  • Primary Point of Contact: Serve as the primary contact for business customers regarding all operational matters, providing guidance and resolving issues efficiently.

Required Qualifications and Skills:

  • Proven experience in facilities management, procurement, and operations management.
  • Proficiency in budgeting, asset management, and cost control measures.
  • Excellent communication and stakeholder management skills.
  • Knowledge of asset management.
  • Strong negotiation and vendor management skills.
  • Ability to manage cross-functional teams and outsourced vendors effectively.
  • Expertise in space utilization and optimizing office setups.

Education & Experience:

  • Bachelor's degree in related field.
  • 5+ years of experience in facilities management, procurement, or operations, with a focus on asset management, budgeting, and legal compliance.
