Admin Officer – Job Description Position Overview The Admin Officer is responsible for providing administrative, clerical, and operational support to ensure the efficient functioning of the organization. This role oversees daily office operations, supports staff and management, maintains office systems, and ensures compliance with company policies and procedures. Key Responsibilities 1. Administrative Support Manage office correspondence, including emails, letters, and phone calls. Prepare and maintain documents, reports, and presentations. Schedule and coordinate meetings, appointments, and travel arrangements for staff. Maintain filing systems (physical and digital) and ensure records are up to date. 2. Office Management Oversee office supplies inventory and place orders when necessary. Ensure the office environment is clean, safe, and well-maintained. Liaise with vendors, contractors, and service providers. 3. Coordination & Communication Act as a point of contact between departments, staff, and external stakeholders. Assist with internal communications and circulate important information. Organize company events, meetings, and workshops. 4. Compliance & Reporting Ensure adherence to organizational policies and procedures. Maintain confidential information securely. Assist in preparing monthly or quarterly administrative reports. 5. HR & Finance Support (depending on organization size) Support recruitment processes (posting jobs, scheduling interviews, onboarding). Assist in payroll preparation by providing attendance and leave data. Maintain employee records and support HR-related activities. Qualifications & Skills Education & Experience Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field. Proven experience in an administrative or office support role (1–3 years typically required). Core Skills Excellent written and verbal communication skills. Strong organizational and time-management abilities. Proficiency in MS Office Suite (Word, Excel, PowerPoint) and office management software. Attention to detail and problem-solving skills. Ability to work independently and as part of a team. Professional demeanour and strong interpersonal skills.
