JOB SUMMARY: The Workplace Governance & Portfolio Assistant Manager role typically supports Workplace governance frameworks, portfolio management, performance management, change management and communication strategies across multiple pillars within the Workplace and wider GBS Organisations. It ensures compliance, facilitates stakeholder engagement, and drives process excellence for governance activities. RESPONSIBILITIES Governance - As an assistant Governance & Portfolio manager, a key responsibility is to shape and implement governance structures. This involves creating a robust system of rules, practices, and processes for the Global Workplace Services organisation and performance manage that to hold people accountable (for our top priorities ie Jobs to be done) - Maintain accurate and up-to-date governance records and documentation. - Assist in organizing governance forums, including agenda setting, minutes preparation, and follow-up actions. Internal Communications: - Assist in developing and delivering content for internal channels such as newsletters. Plan and coordinate internal events like town halls and engagement programs. - Develop and execute internal communication plans for governance initiatives. - Liaise with cross-functional teams to ensure consistent messaging and stakeholder alignment. - Content Management:Draft, edit, and proofread various communication materials to ensure consistency in messaging, brand voice, and visual identity across all communication channels. - Content management of various Sharepoint pages and policy standards Project, Change & Process Management - Coordinate governance-related projects, ensuring timelines and deliverables are met. - Support workplace initiatives and projects from a PMO capacity. - Change management - support with the actual change management of the various Workplace Transformation programmes Management Support & Coordination: - Manage administrative tasks for senior leadership, prepare reports and presentations, purchase orders management and track action items to ensure smooth operations. Stakeholder Engagement - Actively engage with stakeholders, providing education on relevant governance policies and procedures while fostering and maintaining healthy stakeholder relationships, which form a vital component within the governance framework. - Collaborate with Workplace teams and act as a point of contact for governance for updates and change management. SKILL SETS - Excellent writing and copy-editing skills with adequate experience to produce communications such as articles and newsletters for internal communication. - Experience with content creation and delivery, including email, newsletters, videos, and presentations. - Good planning and organisational skills, along with good interpersonal skills - Attention to detail and the ability to manage multiple projects simultaneously. - Experience in Project Management or running a PMO - Experience in Change Management - Familiarity with Microsoft Viva tools, especially Viva Engage - Basic design or content creation skills (e.g., Canva, PowerPoint, or video editing tools) EDUCATION & EXPERIENCE - Bachelor's Degree holder in Engineering or related field - Proven working experience of 8-10 years in Project management and or change management.
