Inviting applications for the role of Assistant manager, S2P Operations - Coupa

We are seeking a detail-oriented and proactive Purchase Order (PO) & Spend Tracking Specialist to manage and support our purchasing and spending processes. The ideal candidate will have experience using Coupa for PO creation and tracking, reconciling invoices, and collaborating with cross-functional teams including Finance and FP&A. This role will play a key part in managing event-based and unforeseen expenses, maintaining accurate records, and ensuring compliance with procurement timelines and processes.

Responsibilities

2. Create Purchase Orders (POs):

- Create new POs in Coupa for event spending and unforeseen expenses

- Ensure the accuracy and completeness of all PO details

- Track PO Process in Coupa:

- Regularly monitor and track the status of POs in the Coupa system

- Distribute weekly/monthly recaps of PO activity to relevant stakeholders.

- Follow up on pending items outside Coupa for additional information or clarification

- Escalate delayed actions or missing documentation based on established procurement timelines

- Create and Track PO Change Requests:

- Process PO change requests due to fluctuations in digital advertising spend

- Keep accurate records of changes and distribute regular updates on PO change activity

- Receive Services in Coupa:

- Confirm receipt of services based on written communication from functional spenders

- Accurately update and track service receipts for high-volume ongoing POs

- Invoice Reconciliation:

- Review and validate invoices against vendor-specific processes

- Ensure timely and accurate reconciliation of invoices, especially for demand generation spend channels

- Collaborate with FP&A team to develop and implement a process for consistent invoice reconciliation

- Collaborate on Spend Forecast Validation:

- Work with Finance partners to validate and adjust spend forecasts

- Review actual spend reports against planned forecasts maintained in Power BI

- Partner with FP&A team to create and refine the process for spending reviews

- Propose End-of-Month Accruals:

- Compare received services against billed services to identify discrepancies

- Propose accrual entries for any unreceived services in collaboration with spenders and FP&A

Qualifications we seek in you

Minimum qualifications:

- Any Graduate

- Willing to work in a Rotational shift

- Strong communication skills, both written and verbal.

- Working knowledge of MS-Excel and PowerPoint.

- Strong understanding of purchase order processes and systems, with experience using Coupa.

- Experience working with Finance and FP&A teams on spending and forecasting.

- Detail-oriented with excellent problem-solving and organizational skills.

- Ability to prioritize and meet deadlines in a high-volume environment.
