Job Description

We are seeking a person with blend of 4+ years of experience in business analysis and project management with extensive knowledge of HRMS systems and processes to join our team. The ideal candidate will play a crucial role in bridging the gap between stakeholders and technical teams, ensuring that our HRMS solutions effectively meet business needs.

- Requirement Gathering: Collaborate with stakeholders to elicit, analyze, and document business requirements effectively, ensuring alignment with organizational goals.

- Reporting and Alerting Requirements: Define comprehensive reporting and alerting requirements to facilitate data-driven decision-making.

- HRMS Expertise: Possess a strong understanding of HRMS systems, including their functionalities, workflows, and best practices.

- Configuration Specifications: Define configuration specifications and business analysis requirements to optimize system performance and usability.

- Partnership Development: Build and nurture relationships with internal and external partners, working collaboratively to enhance integrations and optimize processes.

- System Processes Design: Assist in designing, documenting, and maintaining efficient system processes to ensure smooth HR operations.

- Technical Issue Reporting: Identify common sources of technical issues or inquiries, providing valuable insights and recommendations to the product team for resolution.

- Insights Communication: Effectively communicate key insights and findings to the product team, driving informed decision-making.

- Continuous Improvement: Proactively seek opportunities to enhance monitoring processes, identify issues, and deliver increased value to customers.

- Requirement Liaison: Serve as a liaison between business units and technical teams, gathering and understanding requirements to ensure successful project delivery.

- System Analysis: Analyze the needs of large systems, breaking them down into manageable components and recommending appropriate frameworks and systems.

- Technical Support: Assist team members in resolving technical issues, providing guidance and expertise as needed.

- Process Improvement Implementation: Drive and implement process improvement initiatives as opportunities arise, fostering a culture of continuous enhancement.

- Agile Leadership: Lead agile teams effectively, collaborating closely with global stakeholders to prioritize features and epics.

- People Management: Manage all aspects of team development, including talent acquisition, motivation, mentoring, and retention.

- Stakeholder Management: Engage with all stakeholders to ensure alignment on project goals and objectives, maintaining open lines of communication throughout the project lifecycle.

- Application Ownership: Oversee the development, delivery, and 24/7 support of HRMS applications, ensuring optimal performance and user satisfaction.

- Collaboration with Project Management: Work alongside the project management team to promote best practices and continuous improvement within the organization.

- Documentation: Prepare detailed business requirement documents (BRDs), system requirement specifications (SRS), use cases, and user stories to clearly communicate requirements to technical teams.

- Analytical Skills: Demonstrate strong analytical and problem-solving skills, capable of addressing complex issues effectively.

- Communication Skills: Exhibit excellent verbal and written communication skills, with the ability to convey technical concepts to non-technical stakeholders.

PMO Setup and Governance:

- Develop and implement project management methodologies, standards, processes, and tools to ensure consistency and best practices.
- Define governance frameworks and processes to ensure project alignment with business objectives.

Project Management & Delivery:

- Lead the successful delivery of ERP projects/ other applications by managing scope, budget, timeline, and quality.
- Coordinate cross-functional teams, including business analysts, developers, testers, and external vendors.
- Identify project risks, issues, and dependencies, and develop mitigation strategies.
- Ensure projects are delivered within agreed-upon KPIs, timelines, and budgets.
- Implement change management practices to ensure smooth adoption of ERP systems across business units.

Resource Planning & Management:

- Plan and manage resources for projects, ensuring the right mix of skills and competencies for project success.

Vendor and Contract Management:

- Manage relationships with third-party vendors and consultants, ensuring they meet project deliverables and contractual obligations.
- Oversee procurement processes, contract negotiations, and ensure compliance with SLA agreements.

Financial Management:

- Prepare and manage project budgets, including tracking project expenditures, forecasting, and variance analysis.
- Ensure effective financial controls are in place for projects, including resource allocation and cost management.

Reporting & Documentation:

- Develop and maintain project dashboards, status reports, and other communication tools to keep executives and stakeholders informed.
- Ensure proper documentation of all project-related activities, decisions, and lessons learned.

3+ years of experience in project management, with a focus on ERP implementation and management. Proven experience in managing large-scale ERP deployments across multiple locations or business units.

Experience leading PMOs in complex enterprise environments.

Experience with cloud-based ERP systems.

Knowledge of IT infrastructure and data migration strategies.

Knowledge of regulatory requirements related to ERP systems (e.g., SOX, GDPR).

Certifications: PMP, Prince2, or other relevant certifications are a plus.
