Job Description ob Title: Administrative Assistant Key Responsibilities Scheduling & Coordination * Manage calendars and schedule appointments, inspections, service calls, and meetings. * Coordinate with internal teams and external partners to ensure timely task execution. * Send reminders and confirmations to homeowners, staff, and vendors. Homeowner Communication * Serve as the primary point of contact for homeowner inquiries via phone, email, and messaging platforms. * Provide clear, professional, and timely communication regarding project updates, schedules, and required information. * Address concerns, route questions to the appropriate departments, and ensure follow-up is completed. Administrative Support * Prepare and organize documents, forms, reports, and correspondence. * Maintain accurate and up-to-date files, both digital and physical. * Assist with data entry, recordkeeping, and updating internal systems. * Support the onboarding and documentation process for new projects or homeowners. Operational Support * Assist with coordinating field staff schedules and dispatching updates as needed. * Track project timelines and notify homeowners or teams of any changes. * Help monitor email inboxes, voicemail, and communication channels to ensure timely responses. General Office Duties * Assist with ordering supplies, managing office inventory, and supporting daily office operations. * Provide support during meetings, including preparing agendas and notes. * Perform other administrative tasks as assigned. Qualifications * Proven experience as an administrative assistant, coordinator, or similar role. * Strong communication and customer service skills. * Excellent organizational and time-management abilities. * Proficiency in MS Office, Google Workspace, and scheduling or CRM software. * Ability to multitask, prioritize, and work independently. * Professional, courteous, and solution-oriented attitude.
