Reports To: Procurement Manager/Logistics Manager
Job Summary:
The Import Coordinator will manage and oversee the importation of goods and materials
required for hotel operations. This role involves handling shipping documentation, ensuring
compliance with import regulations, and coordinating logistics with suppliers, freight
forwarders, and customs authorities. The ideal candidate will have 2-4 years of experience in
logistics or import coordination, preferably in the hospitality sector, and should be within the
age range of 18-30 years.
Key Responsibilities:
1. Import Documentation & Compliance:
Prepare, review, and manage import-related documents, including invoices,
packing lists, and bills of lading.
Ensure compliance with international shipping regulations and customs
requirements.
Coordinate with customs brokers to ensure timely clearance and delivery of
goods.
2. Supplier & Freight Coordination:
Communicate with international suppliers to arrange shipments and confirm
delivery schedules.
Work with freight forwarders, shipping agents, and transportation partners to
track shipments and ensure timely deliveries.
Address any issues related to shipping delays or discrepancies in orders.
3. Inventory & Stock Management:
Monitor inventory levels for imported goods and coordinate with the
procurement team to ensure timely restocking.
Manage the import of various hotel supplies, such as food, beverages,
furniture, and equipment.
Assist in forecasting demand for imported goods based on hotel occupancy
and event schedules.
4. Cost Control & Optimization:
Negotiate shipping costs with freight forwarders and vendors to maintain
cost-effective logistics operations.
Monitor duties, taxes, and other associated import costs to ensure they stay
within the hotel's budget.
Suggest improvements to the import process to reduce costs and enhance
efficiency.
5. Vendor Relationship Management:
Build and maintain relationships with international suppliers to ensure
high-quality service and timely delivery.
Address and resolve any disputes related to product quality, shipment delays,
or incorrect orders.
Evaluate and onboard new suppliers when necessary to meet the hotel's
operational needs.
6. Problem-Solving & Troubleshooting:
Resolve issues related to delayed shipments, damaged goods, or
customs-related problems.
Work with customs brokers, authorities, and shipping partners to resolve
import issues promptly.
Ensure no disruption to hotel operations by securing the timely delivery of
critical supplies.
7. Reporting & Communication:
Provide regular updates to the procurement and operations teams on the
status of imports.
Prepare detailed reports on shipping schedules, import costs, and vendor
performance.
Assist in planning and executing the hotel's import strategy to ensure
seamless supply chain operations.
Skills and Qualifications:
Education: Bachelor's degree in Supply Chain Management, Business
Administration, Logistics, or a related field.
Experience: 2-4 years of experience in import coordination or logistics, preferably in
the hospitality or hotel industry.
Age: 18-30 years.
