**Key Responsibilities**:
- ** Examination Planning & Coordination**:
- Assist in developing and maintaining examination schedules, including mid-term, final, and supplementary exams.
- Collaborate with departments to ensure timely release of examination timetables, room allocations, and seating arrangements.
- Coordinate with faculty and staff to organize invigilation duties, ensuring fair distribution of responsibilities.
- ** Management of Examination Materials**:
- Oversee the preparation, printing, and distribution of examination papers, ensuring confidentiality and compliance with institutional policies.
- Manage the secure storage and handling of examination scripts, answer sheets, and other sensitive documents.
- Implement and maintain strict protocols for the collection, transportation, and storage of exam materials to prevent unauthorized access.
- ** Data Management and Reporting**:
- Supervise the accurate recording and processing of examination results, working closely with data entry and administrative teams.
- Verify grades, prepare result summaries, and assist in generating student transcripts.
- Support the Controller in preparing detailed reports and analysis on examination statistics, pass/fail rates, and other performance metrics.
- ** Compliance and Quality Assurance**:
- Ensure compliance with examination policies, university regulations, and accreditation standards.
- Assist in conducting audits and reviews to maintain the quality and integrity of the examination process.
- Investigate any breaches or irregularities during exams and support disciplinary actions in line with university policies.
- ** Student and Faculty Support**:
- Address student inquiries related to examinations, results, and grading.
- Provide information and training to faculty on examination processes, grading guidelines, and result submissions.
- Support the examination grievance redressal process by coordinating appeals and providing necessary documentation to review committees.
- ** Continuous Improvement**:
- Recommend improvements in examination processes and introduce efficient practices.
- Stay updated on examination policies, academic guidelines, and technological solutions to enhance examination management.
**Qualifications**:
- ** Education**: Bachelor’s degree required; Master’s degree in Education, Administration, or a related field preferred.
- ** Experience**: Minimum of 3-5 years of experience in examination administration or academic administration, preferably within a higher education institution.
- ** Skills**:
- Excellent organisational and time-management skills.
- Strong attention to detail and ability to maintain confidentiality.
- Proficiency in data management and familiarity with examination software and student information systems.
- Strong communication and interpersonal skills for effective coordination across departments.
