**Position: Purchase Assistant**

Role Summary

Responsibilities include evaluating vendors, negotiating contracts and preparing reports (e.g., on orders and costs.) Should have good knowledge of market research, along with solid analytical skills to make sure you’re identifying the most profitable offers.

Reporting to Purchase Manager

Roles & **KRA 1: Research and Identify**

Responsibilities Research potential vendors.
- Compare and evaluate offers from suppliers.
- Negotiate contract terms of agreement and pricing.
- Track orders and ensure timely delivery.
- Review quality of purchased products.

**KPIs**
- Timely arrangement.
- Accuracy in records.

**KRA 2: Monitor and Negotiation**
- Enter order details (e.g., vendors, quantities, prices) into internal databases.
- Maintain updated records of purchased products, delivery information and invoices.
- Prepare reports on purchases, including cost analyses.
- Monitor stock levels and place orders as needed.
- Coordinate with warehouse staff to ensure proper storage.
- Attend trade shows and exhibitions to stay up-to-date with industry trends
- Assisting with the inspection of goods.
- Assisting with negotiation strategies and making recommendations.
- Maintaining knowledge of market/industry trends.
- Monitor stock levels and identify purchasing needs.
- Research potential vendors.

**KRA 3: Data analytics**
- Evaluate offers from vendors and negotiate better prices
- Prepare cost analyses
- Maintain updated records of invoices and contracts
- Follow up with suppliers, as needed, to confirm or change orders
- Liaise with warehouse staff to ensure all products arrive in good condition
- Excellent organizational and time management skills.
- Analytical abilities and aptitude in problem-solving.

Entry Requirements

Qualification Span of Experience

At least 3 years experience Purchase Assistant / Office
Graduate in any discipline with computer skills. coordinator is desirable.
