The Role
We are seeking a highly organized and efficient Office Administrator to join our team in Pune. You will help run an exciting and orderly office by coordinating day-to-day administrative operations, office events, volunteer opportunities, help coordinate intern and new hire events and ensure the office runs smoothly. You will succeed if you enjoy helping people, are detail-oriented, and proactive. This is a fully in-office role.
**Responsibilities**:
- Greet and welcome guests as soon as they arrive at the office.-
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.- Coordinate office activities and operations to secure efficiency and compliance with company policies.- Update calendars and schedule meetings.- Assist in the preparation of reports, presentations, and documents as needed.- Maintain filing systems, both electronic and physical, ensuring accuracy and organization.- Assist in the onboarding process for new hires, including completing paperwork, setting up workstations, and coordinating orientation sessions.- Handle confidential and sensitive information with discretion.- Assist with special projects and other duties as assigned by management.
**Requirements**:
- High school diploma or equivalent; associate’s or bachelor’s degree preferred and at least 2 years’ experience in an in an administrative role or similar position.- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).- Ability to be resourceful and proactive when issues arise.- Professional and personable attitude.- Excellent organizational skills.- Time-management skills, with the ability to prioritize tasks.- Familiarity with office equipment, such as printers, copiers, and fax machines.- Assist with special projects and other duties as assigned by management.
