**Job Summary**:
**Key Responsibilities**:
- **Front Desk Management**:
- Greet and welcome guests with a positive and professional demeanour.
- Answer, screen, and forward incoming phone calls.
- Ensure the reception area is clean, organised, and well-stocked with necessary materials.
- **Administrative Support**:
- Perform general administrative duties such as scheduling appointments, managing calendars, and handling correspondence.
- Process and distribute mail and packages.
- Assist with office supplies inventory and ordering.
- **Visitor Coordination**:
- Register and badge visitors as per company policies.
- Notify staff members of visitor arrivals and ensure a smooth check-in/check-out process.
- Provide information and assistance to visitors and guests as needed.
- **Customer Service**:
- Address and resolve visitor or caller inquiries and concerns professionally.
- Maintain a high level of customer service and confidentiality.
- **Team Collaboration**:
- Collaborate with other administrative staff to support office operations and special projects.
- Assist in coordinating company events and meetings as required.
**Qualifications**:
- **Education & Experience**:
- A high school diploma or equivalent is required; additional certification in office administration is a plus.
- Previous experience in a receptionist or administrative role preferred.
- **Skills & Abilities**:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., phone systems, printers).
- Ability to handle sensitive information with discretion and confidentiality.
- Positive attitude and professional appearance.
**Working Conditions**:
- Full-time.
- May require occasional overtime or flexibility based on office needs.
- Office environment with standard office equipment and occasional light lifting.
