**Roles and Responsibilities**
- Lead the development and execution of the Materials strategic plan and short term plans, initiatives to support the business strategies and promote a unified company culture.
- Responsible for and effective flow of supply of materials.
- Ensure materials are purchased at the right price, right time and in right quantity with no compromise on quality.
- Establish standard procedures in issuing public contracts, service contracts ensuring legal safeguard for the company.
- Responsible for preparing budget for Materials and submit for approval.
- Develop Inventory control systems and establish procurement plans for the operational requirements of the hospital.
- Ensure proper working capital management and efficient and effective purchase and stores functions.
- Maintain records of all indents and track the same with the closure TATs
- Keep abreast with all matters relating to import control and Government regulations for procurement of imported equipment and supplies.
- Control on materials consumption at user level department. Suggest ways and develop systems controlling consumption.
- Responsible to enforce cost effective mechanism whenever feasible.
- Work with heads of other departments to develop effective internal communications (between and among management and employees) to promote morale and achieve company-wide goals.
- Ensure smooth stores management function, ensure stocks are optimal and ensure reduction of redundancies and wastage of materials.
- Ensure operating results of the purchase function which involves sundry purchase, hospital supplies and service contract.
- Oversee the purchase of imported equipment and supplies for the hospital
- Play a supportive role in the standardization of products and inventory control
- Develop vendors and review their rating so that reliability is adequately guaranteed.
- Ensure that credible loyalty is maintained among suppliers for the hospital
- Managing and optimizing supplier performance, including continuous improvement, innovations, obsolescence and reduction in total cost of ownership.
- Responsible for implementation of all corporate initiatives.
- Ensure all staff in the team conducts themselves in a professional manner, are well presented and responsible for maintaining discipline in accordance with Company policy.
- Review the performance and competence of staff through annual appraisal.
- Identify training needs and arrange for its provision in conjunction with Human Resources.
- Ensure timely submission of monthly/ weekly detail reports to the management.
- Ensuring all internal controls are observed and giving feedback to the management about the leakages.
- Ensure all activities meet with and integrate with organizational requirement for quality management, health and safety, legal requirement, environmental policies and general duty of care.
- Responsible for the imparting/organizing for functional training for the department staff
- Responsible for handling staff, manpower planning and managing the staff.
- Compliance towards corporate and unit purchase policy.
- Inventory procurement as per required lead time.
- To implement and overlook the FMS plans and Quality Improvement Processes if any.
- Ensure compliance to NABH and such other accreditations.
- Any other jobs assigned by superior.
- Preparation of purchase orders and amendment orders
- Process indents by requesting quotations, preparing comparative statements and to assist In charge for finalizing orders
- Expedite orders and follow-up on suppliers
- Coordinate with stores / user departments on the purchase requirements
- Prepare correspondence relating to the purchase of materials, requiring some independence of judgement
- Compile, compute and tabulate the data for reports to be generated
- Maintain records and files
- Collect information on products and keep the superiors informed of the market trend
- Coordinate with accounts and receiving section in settling payment to the suppliers
- Perform related work as required by the department

Pharmacy department is responsible for overseeing and managing company's overall supply chain and logistics strategy and operations in order to maximize the process efficiency and productivity. In addition, they play a crucial role in developing and maintaining good relationships with vendors and distributors.
