Front Desk Receptionist

**Job Summary**: The Front Desk Receptionist serves as the initial point of contact for visitors, clients, and employees, providing excellent customer service and ensuring a positive first impression. The receptionist is responsible for managing the front desk area, answering incoming calls, directing inquiries, and performing administrative tasks to support the smooth functioning of the office.
**Key Responsibilities**:
**Greeting and Welcoming**:Welcome visitors and clients with a friendly and professional demeanor.
Provide accurate information about the company, its services, and directions within the office.
**Answering Calls**:Operate a multi-line phone system, answering incoming calls promptly and courteously.
Direct calls to the appropriate individuals or departments or take messages as necessary.
**Check-In and Check-Out**:Manage the check-in and check-out process for visitors, ensuring proper sign-in procedures are followed.
Issue visitor badges and maintain security protocols for all guests.
**Administrative Support**:Perform general administrative duties such as data entry, photocopying, scanning, and filing.
Assist with sorting and distributing incoming mail and packages.
**Appointment Scheduling**:Schedule appointments and meetings, coordinating with employees and clients to find suitable times.
Maintain the office calendar and update it with upcoming events and meetings.
**Office Maintenance**:Maintain a neat and organized front desk area, ensuring it reflects a professional image.
Monitor and restock office supplies as needed.
**Communication**:Liaise between visitors, clients, and employees, effectively relaying messages and information.
Communicate any urgent or relevant matters to appropriate staff members.
**Problem Solving**:Address visitor inquiries and concerns, resolving issues or redirecting them to the appropriate department.
**Coordination**:Collaborate with other administrative staff to ensure seamless office operations.
Assist in coordinating events, meetings, and conferences as required.
**Adherence to Policies**:Enforce company policies and procedures related to security, visitor access, and confidentiality.
**Qualifications**:
- High school diploma or equivalent (associate's degree preferred).
- Excellent verbal and written communication skills.
- Strong interpersonal skills and a customer-centric approach.
- Proficiency in using office equipment, including a multi-line phone system and basic computer software (e.g., Microsoft Office Suite).
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Professional appearance and demeanor.
- Previous experience in a receptionist or customer service role is a plus.
- Age Limit: 25
**Working Conditions**:
- The job is primarily performed at the front desk of the office.
- May involve standing or sitting for extended periods.
- Some tasks may require lifting of lightweight packages or office supplies.
- Regular interaction with visitors, clients, and employees.
**Salary**: ₹15,000.00 - ₹20,000.00 per month
