Project Coordinator

Responsibilities
1. Stakeholder Coordination:
a. Act as the central point of contact for all project stakeholders, including project managers, engineers, architects, contractors and suppliers
b. Facilitate effective communication and collaboration among team members
2. Bills of Quantities [BOQ] Maintenance:
a. Maintain up-to-date Bills of Quantities for all project components
b. Ensure that the BOQs are accurate, complete and aligned with project requirements
3. Daily Billing Systems:
a. Oversee daily billing systems to accurately track project expenditures and revenue.
b. Ensure that all billing is executed in compliance with established procedures and timelines related to site communication
4. Documentation Management:
a. Manage project-related documentation inclusive of drawings up to finishing of the project(s), including contracts, purchase orders, change orders, and invoices.
b. Organise and maintain records for easy retrieval and reference.
5. Scheduling Support: a. Assist in the development and maintenance of project schedules. b. Monitor project timelines and alert project managers of any delays or potential issues
6. Closure of Contracts:
a. Manage the finalisation and execution of contracts with contractors, suppliers, and consultants.
b. Ensure that all contract terms, conditions, and deliverables align with project objectives and client expectations.
c. Oversee contract negotiations, approvals, and any necessary modifications
7. Reporting:
a. Prepare regular reports on project status, including financial updates, progress against schedules, and any deviations from project plans.
b. Present reports to project managers and stakeholders as needed
8. Risk Identification:
a. Assist in identifying potential risks and issues that may affect project success.
b. Collaborate with project managers to develop and implement risk mitigation strategies 9. Vendor Management:
a. Collaborate with the procurement team to manage vendors effectively.
b. Assist in vendor performance, selection, background checking and formulation of all documentation
