Front Desk Executive

This is to inform that the front executive key responsibility has been given in detail and individual is expected to carry out these specific responsibilities within regular clinical hours.
1. Patient appointment checklist for the day and updating the checked in patient and their worked done.
2. Patient next appointment date for which treatment to be noted in patient list
3. Patient scheduling appointment placement and appointment confirmation
4. Patient interaction in reception and connecting doctor and front desk
5. Patient final list with charges to be updated to clinical in-charge
6. Each patient reminder to be communicated to front desk properly without daily.
7. On Ortho day, each patient before calling to operatory, once the in -house doctor has to be consulted and then the next patient to be called.
8. Once the operatory has been used and patient walks out of the operatory, connects the assistant for disinfection of the operatory for next patient.
9. Feedback from patient to be taken and update the feedback report daily for each patient.
10. The patient list has to distributed to doctors, assistant and security staff for next day.
11. Patient registration completion with every details
12. Patient management portal reminder setting
13. Patient check in in patient portal and display in the reception waiting display
14. Patient treatment due check in and billing on treatment after a confirmation from front executive 01 or doctor.
15. Patient consent signature update before patient enters operatory.
16. Patient mailing and texting to be done for giving some set of information or case sheet.
17. Patient query attending and connecting directly to doctor
18. Patient payment track needs to be updated to clinical in-charge
19. Material requirement list to be send and mailed to purchase department
20. BASIC REQUIREMENT REPORT to be submitted and updated daily
21. Report to the Jaya Mam for the day revenue details and work done.
22. Important documents such as consent forms, patient registration forms must be filed and stored safely inside labelled folders.
23. Front desk executives must be well versed at using the Patient Management Portal, specifically the sections related to adding new patients, editing patient details, printing out forms, updating patient related documents in their ID, adding/editing/canceling appointments, sending appointment reminders, shooting feedback links and so on.
24. Ensuring you update the check-in/engaged/check-out status for each patient.
25. Maintaining a to-do list for the day. Ensuring you tick off all the items by the end of the day.
26. As a front desk executive you must be able to answer patient queries convincingly and confidently. Refer to the Patients FAQ document for reference.
27. Should confirm the appointments for the day once in the morning and the treating doctor must be informed accordingly.
28.Important patient must be attended and treated in Insignis.
29. Important patients and high value patients must not be made to wait at the reception for more than 10 minutes.
30. Handling calls, connecting patients to doctors via helpline and coordinating with lab/IT department/Maintenance department for patient related work.
31. Confirming with the patient their appointment time and sending them the appointment notification a day prior to their appointment.
32..Patient list for the next day should contain any and all outstanding amounts that have to be collected
33. Confirming with the inhouse doctor the treatment done by the patient that day and billing them accordingly.
34. Handling Patient Grievance: When a patient gets agitated for some reason, address the situation before it worsens. Inform the in-house doctor and make the patient sit inside the conference room.
35. Feedback from patients
- first time on tab after first consultation for internal purposes and Google review link to be sent to happy clients after their treatment is completed.
**Behaviour etiquette**:
1. Punctuality should be present to abide by clinical hours.
2. Polite talking style with patient with courtesy
3. Assistant should be politely coordinated for operatory management
4. No personal discussion on front desk
5. No comments or personal opinion on any patient
6. Well dressed and appearance
7. No rude communication in person or over call
**Salary**: ₹10,000.00 - ₹15,000.00 per month
