**Key Responsibilities**:

- **Customer Service**:

- Greet and welcome visitors, clients, and guests in a friendly and professional manner.
- Provide information and direct visitors to appropriate departments or personnel.
- Assist customers with their needs and provide product or service information.
- **Administrative Support**:

- Answer and direct phone calls using a multi-line phone system.
- Schedule appointments, meetings, and coordinate conference rooms.
- Maintain the front office’s filing and documentation systems.
- Prepare and manage correspondence, reports, and other documents as required.
- Process incoming and outgoing mail and deliveries.
- **Reception and Office Management**:

- Ensure the front office area is clean, organized, and welcoming.
- Handle check-in/check-out procedures for guests, clients, or employees.
- Manage office supplies, including ordering and inventory control.
- Support office events and meetings as needed (e.g., arranging refreshments or setting up conference rooms).
- **Data Entry and Record-Keeping**:

- Input and update client or visitor information into databases or management systems.
- Maintain accurate records of office interactions, appointments, and requests.
- Assist with billing, invoicing, and documentation tasks as needed.
- **Collaboration**:

- Work closely with other departments to ensure seamless communication and coordination across the organization.
- Provide administrative support to senior management or department heads when necessary.
- **Security and Safety**:

- Monitor building access and ensure proper security procedures are followed for visitors and personnel.
- Assist in emergency response procedures when necessary (e.g., fire drills or evacuations).

**Skills & Qualifications**:

- **Education**: High school diploma or equivalent required. Additional certification or education in office administration or customer service is a plus.
- **Experience**: 1-3 years in a customer service, administrative, or front office role preferred.
- **Skills**:

- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint, etc.) and other office software.
- Basic understanding of office equipment (phones, printers, fax machines, etc.).
- Ability to maintain a professional demeanor and handle confidential information.
- Strong problem-solving skills and a proactive approach to work.
