**Role & responsibilities**:

- Receptionist Duties:

- Greet and welcome visitors, clients, and employees in a friendly and professional manner.
- Answer and direct incoming calls to the appropriate person or department.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain a clean and organized reception area.
- Travel Coordination:

- Coordinate all travel arrangements for employees, including flights, accommodations, transportation, and itineraries.
- Research and book cost-effective travel options while considering company policies and preferences.
- Prepare travel expense reports and reconcile receipts in a timely manner.
- Administrative Support:

- Assist with various administrative tasks, including data entry, filing, photocopying, and scanning documents.
- Schedule and coordinate meetings, conferences, and appointments.
- Maintain and update company databases, contact lists, and records.
- Assist with the preparation and distribution of internal and external communications.
- Office Maintenance:

- Monitor and manage office supplies, restocking as needed.
- Coordinate with maintenance and cleaning staff to ensure the office environment is well-maintained and organized.
- Assist with setting up meeting rooms and arranging necessary equipment.
- Ad Hoc Support:

- Provide additional support to other departments or teams as required.
- Handle special projects and tasks as assigned by management.
- Qualifications and Skills:

- High school diploma or equivalent; associate's degree or relevant certification is a plus.
- Proven experience in a similar receptionist, travel coordination, or administrative support role.
- Strong interpersonal skills with the ability to interact professionally and courteously with visitors and colleagues.
- Excellent organizational and time-management skills.
- Proficiency in using office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and travel booking platforms.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Effective communication skills, both written and verbal.
- Detail-oriented mindset with a proactive and positive attitude.
- Ability to work independently and collaborate within a team environment.
