Job Summary:
As an Executive Secretary with an MBA qualification and exceptional English language skills, you will play a key role in providing comprehensive administrative support to an executive or high-ranking individual within the organization. Your advanced education and communication skills will be crucial in managing various tasks, including correspondence, document preparation, and communication handling, contributing to the overall efficiency and success of the executive's responsibilities.
- **Key Responsibilities**:_
**Calendar and Schedule Management**:
Efficiently manage the executive's schedule, prioritizing appointments, meetings, and events.
Coordinate and plan the executive's daily, weekly, and monthly activities.
**Communication and Correspondence**:
Draft, proofread, and edit business correspondence, reports, and presentations with a high level of precision.
**Meeting Coordination**:
Arrange and coordinate meetings, conferences, and events, ensuring all logistics are well-organized.
Prepare meeting agendas, attend meetings, and provide detailed minutes and follow-ups.
**Travel Arrangements**:
Manage travel arrangements, including booking flights, accommodations, and transportation.
Prepare detailed travel itineraries and handle any changes or adjustments.
**Document Management**:
Organize and maintain physical and digital files, ensuring accurate record-keeping.
Handle confidential information with discretion and professionalism.
**Report Generation**:
Prepare analytical reports, summaries, and presentations using advanced knowledge gained from an MBA program.
**Administrative Support**:
Provide general administrative support, including photocopying, faxing, and filing.
Assist in the coordination of special projects or initiatives.
**Language Proficiency**:
Leverage excellent English writing and speaking skills to enhance communication within the organization.
Ensure that all communication, documentation, and reports meet high standards of clarity and professionalism.
**Relationship Management**:
Build and maintain positive relationships with internal and external stakeholders.
Act as a liaison between the executive and team members, fostering effective communication.
**Professionalism and Discretion**:
Uphold a high level of professionalism and confidentiality in handling sensitive information.
Represent the executive with a polished and professional demeanor.
**Qualifications and Skills**:
Master's in Business Administration (MBA) or a related field.
Proven experience as an Executive Secretary, Personal Assistant, or similar role.
Exceptional written and verbal communication skills in English.
Strong organizational and time-management skills.
Ability to handle multiple tasks simultaneously and prioritize effectively.
Attention to detail and accuracy.
Adaptability and ability to work in a fast-paced environment.
