Program Support Officer, Road Safety

The Program Support Officer will play an instrumental role in providing support to Road Safety efforts in India. The position will work closely with the other teams and divisions working on road safety. Coordinating with different stakeholders on behalf of the Senior Manager, RS in India, the Program Support Officer will provide operational and administrative support to ensure the initiative objectives are met. This position can be remote anywhere from India.

**Duties & Responsibilities**

**General Road Safety Initiative Support**
- Support the Senior Manager with administrative tasks, including maintaining calendars, taking and distributing meeting notes, and other tasks as needed;
- In coordination with support teams in other global offices, prepare documents related to countries and cities.
- Liaise between the diverse teams that support Road Safety and provide general support accordingly.
- Coordinate with diverse teams both internally and externally to ensure the availability of relevant documentation pertaining to the initiative.
- Work closely with other Road Safety teams, and administrative/operations colleagues across the organisation to meet objectives.
- Maintain organisational systems for filing, reporting and other deliverables;
- Design simple templates to collect and generate reports for internal and external consumption;
- Create and personalise templates for documents used internally and externally by the team;
- Perform data entry using Microsoft Word processing, Excel spreadsheets, or database commands and formats for material as required;
- Support the Senior Manager with event planning and develop standard organisational procedures/checklists to systematise event management.
- Assist the Senior Manager with travel arrangements for team site and city visits.
- Organise agenda for weekly, monthly and team meetings as required.
- Prepare presentations and assist with creating and distributing documents;
- Draft letters, tables, charts, graphs, maps, data tables, presentations, and other visual aids as necessary;
- Correspond on behalf of the Senior Manager RS to provide basic information to external stakeholders;
- Conduct basic research and analysis for reporting and documentation purposes.

**India Support**
- Develop supporting documents for contracts including using DocuSign CLM;
- Support the Road Safety team in India with the processing of invoices, claims, reimbursements, and per diems (as needed);
- Ensure that transactions, expenditures, and initiative deliverables are tracked until they are completed;
- Coordinate with IT teams and provide assistance with regular maintenance of equipment;
- Collate work plans and other initiative material for dissemination;
- Identify, coordinate, and process information for Human Subjects Research compliance;
- Monitor and co-evaluate milestones, achievements, and deliverables;
- Facilitate city and partner meetings and set agendas under the supervision of the Senior Manager;
- Correspond with other team members to coordinate reviews of work;

**Reporting**
- Assist with reporting as requested by the Senior Manager for Road Safety India;
- Synthesise data for weekly report
