Import Documentation Specialist for CHA and Freight Forwarding Industry

**Job Title**: Import Documentation Specialist

**Location**: Mumbai. Maharashtra

**Reports to**: Import Manager / Operations Manager

Job Summary:
The Import Documentation Specialist is responsible for preparing and managing all necessary documentation for importing goods, ensuring compliance with customs regulations, and coordinating with various stakeholders to facilitate smooth and efficient import operations. The role requires a detailed-oriented individual with a strong understanding of import processes, regulations, and documentation requirements.

Key Responsibilities:

- **Documentation Preparation and Management**:

- Prepare and review import documentation including bills of lading, commercial invoices, packing lists, certificates of origin, and other relevant documents.
- Ensure all documents are accurate and comply with the regulatory requirements of the importing country.
- **Customs Compliance**:

- Stay updated with the latest customs regulations and ensure all documentation and procedures comply with these regulations.
- Coordinate with customs brokers to ensure timely clearance of goods.
- **Coordination and Communication**:

- Liaise with clients, shipping lines, customs brokers, and other stakeholders to facilitate the import process.
- Communicate with suppliers to obtain necessary documents and information for import.
- Coordinate with internal teams such as logistics, finance, and customer service to ensure smooth operations.
- **Record Keeping**:

- Maintain accurate records of all import documentation and transactions.
- Ensure all documentation is filed and archived as per company policies and legal requirements.
- **Issue Resolution**:

- Identify and resolve any issues related to import documentation and customs clearance.
- Work proactively to prevent delays and ensure timely delivery of goods.
- **Compliance and Risk Management**:

- Conduct regular audits of import documentation to ensure compliance with internal and external requirements.
- Assess and mitigate risks associated with import documentation and customs procedures.

Qualifications and Skills:

- **Education**: Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, or a related field.
- **Experience**: Minimum of 2-3 years of experience in import documentation, customs brokerage, or freight forwarding.
- **Knowledge**:

- Strong understanding of international trade regulations, customs procedures, and documentation requirements.
- Familiarity with CHA (Customs House Agent) operations and freight forwarding processes.
- **Skills**:

- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Proficient in using MS Office Suite (Excel, Word, Outlook).
- Effective communication and interpersonal skills.
- Ability to work independently and as part of a team.

Working Conditions:

- **Environment**: Office setting with occasional visits to ports, customs offices, and warehouses as required.
- **Hours**: Full-time position, may require extended hours during peak times or to meet deadlines.

Additional Requirements:

- Knowledge of specific import documentation software and tools is a plus.
- Professional certifications in import/export or customs regulations are advantageous.

Pay: ₹15,000.00 - ₹25,000.00 per month
