**Job Title: Receptionist**
**Key Responsibilities**:
- **Greeting Visitors**: Welcome visitors and clients in a warm and professional manner. Ensure they sign in and are directed to the appropriate person or location.
- **Phone Management**: Answer, screen, and forward incoming phone calls. Provide basic information as needed and take messages accurately.
- **Appointment Scheduling**: Schedule and manage appointments for staff and clients. Ensure that the appointment calendar is up-to-date.
- **Mail and Deliveries**: Receive and sort daily mail/deliveries/couriers. Organize and distribute them to the appropriate departments or personnel.
- **Administrative Support**: Assist with a variety of administrative tasks including copying, faxing, taking notes, and preparing documents.
- **Customer Service**: Handle inquiries from clients and visitors, providing information and addressing any concerns. Ensure a high level of customer satisfaction.
- **Office Management**: Maintain the reception area and common areas in a clean and tidy condition. Monitor and order office supplies.
- **Data Entry**: Maintain visitor logs and update databases as required. Ensure that records are accurate and up-to-date.
- **Security**: Follow procedures for visitor management and ensure that only authorized individuals have access to the premises.
**Required Skills and Qualifications**:
- **Education**: High school diploma or equivalent. Additional certification in Office Management is a plus.
- **Experience**: Previous experience as a receptionist or in a related field is preferred.
- **Communication Skills**: Excellent verbal and written communication skills. Ability to interact professionally with a diverse group of people.
- **Technical Skills**: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., fax machines, printers).
- **Organizational Skills**: Strong organizational and multitasking abilities. Attention to detail and ability to prioritize tasks.
- **Customer Service**: Friendly, approachable demeanor with a focus on customer service. Ability to handle challenging situations with patience and professionalism.
- **Problem-Solving Skills**: Ability to handle unexpected situations and find effective solutions quickly.
**Working Conditions**:
- **Environment**: Office setting, with a fast-paced and often busy environment.
- **Schedule**: Typically full-time, with standard office hours. Some positions may require occasional overtime or weekend work.
Pay: ₹8,000.00 - ₹10,000.00 per month
