**Responsibilities**:
**Greeting and Welcoming Visitors**: The receptionist will warmly welcome all visitors, clients, and guests who enter our institute premises. A friendly and approachable demeanor is essential to make everyone feel comfortable and valued.
**Answering Phone Calls**: Managing incoming calls and routing them to the appropriate departments or individuals. The receptionist must be well-spoken, articulate, and professional on the phone.
**Handling Inquiries**: Providing accurate information about the institute's services, programs, and facilities to potential clients or students who inquire in person or over the phone.
**Scheduling Appointments**: Managing appointment bookings and coordinating with staff members to ensure smooth scheduling.
**Maintaining the Reception Area**: Keeping the reception area clean, tidy, and organized at all times.
**Receiving Deliveries**: Receiving and signing for packages, mail, and other deliveries, and notifying the relevant recipients promptly.
**Assisting with Administrative Tasks**: Providing support to administrative staff, such as data entry, filing, and other clerical duties, as required.
**Maintaining Visitor Records**: Keeping track of visitors, maintaining visitor logs, and adhering to security protocols.
**Assisting with Events**: Assisting in organizing and coordinating institute events, workshops, and seminars.
**Upholding Institute Policies**: Ensuring compliance with institute policies and procedures by visitors and clients.
**Requirements**:
**Good Communication Skills**: Strong verbal and written communication skills are necessary to interact with visitors and staff effectively.
**Pleasant Personality**: A friendly, professional, and presentable demeanor is essential to create a positive first impression on visitors.
**Organizational Abilities**: The receptionist should be well-organized and capable of multitasking to handle various responsibilities efficiently.
**Customer Service Skills**: A customer-oriented approach is crucial in providing exceptional service to clients and visitors.
**Language Proficiency**: Proficiency in multiple languages is advantageous but not mandatory.
