**Event Coordinator**

We are seeking a dynamic Event Coordinator who will support a team of marketing experts. You will strategize events like conferences, tradeshows, tech days, and webinars. You will drive execution and manage marketing requirements. Establish an event calendar including intakes, pre-show and post-show evaluation. Involved in collateral preparation and events/exhibitions, you will work with internal and external stakeholders.

**The key responsibilities of an Event Coordinator position include the following**:

- Plan, promote and execute event/ exhibition projects to meet organization objectives. This includes managing related project budgets and event logistics, including venue, accommodation, travel, catering, group dinners, shipping, and transportation.
- Create event/ exhibition project timelines and proposals, and ensure milestones are met.
- Work closely with internal and external stakeholders to coordinate event preparation and operation.
- Ensure leads are captured in the CRM system and assigned to the relevant department.
- Prepare reports highlighting all event/exhibition-related activities in CRM campaigns, social media posts, and ROIs.
- Manage internal sites to ensure content is updated.
- Developing content for an internal monthly newsletter.
- Collaboration with HR for employer branding-related activities.
- Responsible for creating PR/PO and maintaining a neat budget file for the department.
- Perform ad-hoc duties as assigned from time to time.
- Participate in regular weekly meetings to discuss upcoming events and their requirements.
- Follow all client-required policies, standards, or safety guidelines.
- Communicate any foreseeable problems to the Event Operations Program Manager immediately.

**Event coordination**:

- Liaison with cross-functional teams and internal users regarding audio-visual requirements for events
- Plan practical support for non-standard requests
- Maintain team SLAs for event coordination and response times
- Oversee the planning and execution of events, from significant events to small user groups
- Coordinate event logistics, including travel and accommodation arrangements for staff and guests.
- Create and manage timelines, tasks, and deadlines to ensure events run smoothly.
- Create and maintain event documents such as contracts, invoices, and budgets.
- Ensure compliance with all applicable laws, regulations, and other requirements.
- Manage registration and attendee tracking.
- Provide onsite support during events.
- Evaluate events' success and provide post-event reports.
- Respond to queries and feedback from participants.

**Who you are and what you bring to the table**:

- Bachelor's degree in Marketing, Communications, Event Management, or another relevant discipline.
- 2-3 years of experience in a similar position
- IT/Saas-based preferred.
- Demonstrated event planning experience from conception to execution.
- Knowledge of Tech Stack: Hopin, Zoom, Slack, Google Workspace.
- Proficiency in MS Office Suite and event management software.
- Knowledge of online marketing and communication techniques.
- Experience managing registration lists.
- Experience working with a team across multiple disciplines.
- Strong interpersonal and relationship skills.
- Ability to work flexible hours, including evenings and weekends.
- Skilled negotiator with proven experience finding creative ways to do more with less
