Key Responsibilities
1 Offer efficient administrative support to ensure smooth working as a Receptionist
2 Be a contact point for any queries/ requests/issues related with Administration
3 Handling sensitive information about Company diligently and responsibly
4 Work in close consultation with HR & Admin Dept to perform assigned tasks in Reception
5 Reception Responsibilities
- Handling Front Office or Reeption of the office efficiently
Handling Visitors with a polite, welcoming approach and direct them to concerned
Keep Reception area neat, clean and attractive
Answer and transfer phone calls promptly
Book Trainings every week and doing respective arrangements
Coordinate with staff for day to day smooth work i.e. Water, Electricity, Stationary, Housekeeping material etc
Close eye on the work of Officeboys, Housekeeping staff and inform them what needs to be improved
Confirming Daily attendance by calling in respective departments, when required
6 Visitors & Guests' arrangements
- Arrange tea/ coffee, meal etc. during guest's visit
Arrange to get Visitors' details in the Visitors book
Greeting Visitors and assist them with required information
Confirming restaurant reservations for Guest or Senior staff
7 Housekeeping, Safety & Security
- Daily Housekeeping rounds in office
Instruct housekeeping staff for regular Cleaning - manual and with vacuum cleaner
Monitor Hygiene & Cleanliness in office premises & instruct the staff accordingly
Monitor CCTV system works properly - Coordinate with CCTV Vendor during repairs etc.
Coordinate with Computer AMC agency in case of PC/laptop issues
Instruct employees on right use of AC, Fan, Office Furniture and Equipments
8 Other Administrative duties (when required)
- Carry out administrative duties such as filing, typing, scanning, etc.
Arrange photocopies, printing of documents on behalf of seniors, when required
Other administrative arrangments - Travel & Ticketing, ID cards, Visiting cards
Assistance in repairs/maintenance of office equipments/furnitures etc. whenever required
9 Prepare reports & data maintaining
- Update Telephone/ Mobile list
Electricity, Water bill details - Excel sheet & Manual records
Maintain Computer & Manual Filing System
10 Submit Monthly report (MIS Report) on Reception /Admin activities to HR & Admin Manager
11 HR responsibilities
Close eye on the Interview Schedules / Visitors or Guests' visit
Assist in Induction training plan execution
Arrange Introduction of new employee on his/ her first day
Any other HR related work, as instructed by HR & Admin Manager / Seniors
Desirable Skills of Receptionist
1 Desirable Qualification is Graduate
2 Desirable Experience of 2 - 3 years
3 Ability to coordinate, prioritize and work calmly under pressure
4 Ability to direct Administration staff (Peons, Maids) to get the work done
5 Soft speaking, Presentable, Excellent Communication skills
6 Good understanding, Matured person. Develops rapport with all people in Company
7 Best Coordination, Communication skills, Good in MS Office (Word & Excel)
8 Quick, Alert, Observant (Eyes at all corners)
**Salary**: ₹15,000.00 - ₹20,000.00 per month
