**Job Title: Executive Assistant & Office Coordinator**

**Job Summary**
**Key Responsibilities**
- **Executive Assistance to the Leadership Team**:
- Act as the primary point of contact between the executive team and internal/external stakeholders.
- Manage the schedule of the Director/Administrator, including organizing meetings, appointments, and travel arrangements.
- Prepare agendas, record minutes, and follow up on action items for executive meetings.
- **Follow-Up Management**:
- Maintain a robust system for tracking tasks, deadlines, and action items to ensure timely follow-ups with all departments.
- Proactively communicate with departments to ensure that commitments and deadlines are met.
- Send reminders, alerts, and escalation notices for pending or overdue tasks as needed.
- **Operational Coordination and Office Management**:
- Coordinate with various hospital departments, including HR, Finance, Patient Services, and Operations etc.to streamline workflow and ensure smooth operations.
- Oversee office supplies, inventory, and ensure the functionality of office equipment.
- Maintain hospital records, policies, and procedures to keep documents well-organized and accessible.
- **System and Process Optimization**:
- Assist in developing and implementing efficient workflows, tracking systems, and automated processes for operational efficiency.
- Regularly review and improve office protocols to support a responsive and productive environment.
- **Communication and Relationship Management**:
- Build and maintain positive working relationships with staff, patients, and vendors, ensuring consistent communication and support.
- Act as a liaison between the executive team and hospital departments to facilitate communication and coordination.
- **Administrative and Financial Support**:
- Assist in preparing monthly, quarterly, and annual reports and presentations for the executive team.
- Support budget management, including tracking expenses and processing invoices.
- Prepare and maintain financial records, contracts, and documents to ensure compliance with regulatory requirements.
- **Project Coordination and Special Initiatives**:
- Coordinate projects and special initiatives led by the executive team, ensuring all tasks are delegated and tracked effectively.
- Monitor project progress, provide status updates, and follow up on deliverables to keep the team informed and aligned.
**Qualifications**
- **Education**: Bachelor’s degree in Business Administration, Healthcare Management, or related field preferred.
- **Experience**: 3+ years of experience as an Executive Assistant, Office Coordinator, or similar role; experience in healthcare administration is an advantage.
- **Technical Skills**: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); experience with scheduling and project management software is a plus.
