**Key Responsibilities**:
**Invoice Management**:Create and process invoices accurately and in a timely manner.
Verify invoice details, such as products, quantities, and pricing.
Maintain an organized filing system for invoices and related documentation.
Coordinate with the finance team to ensure prompt payment of invoices.

**Order Updates**:Monitor and update order statuses in the system.
Communicate with relevant teams to track and manage order progress.
Address any order-related issues, discrepancies, or delays promptly.

**Vendor Communication**:Collaborate with vendors to place and confirm orders.
Provide vendors with necessary information and documentation.
Establish and maintain positive vendor relationships.
Handle inquiries, concerns, and requests from vendors professionally.

**Staff Communication and Follow-up**:Communicate with internal staff regarding order specifications and requirements.
Follow up on order-related tasks with different departments to ensure smooth processes.
Address staff inquiries and provide necessary updates on orders.

**Product Delivery Coordination**:Coordinate with logistics and shipping teams to schedule timely deliveries.
Ensure accurate and on-time delivery of products to customers.
Monitor delivery progress and address any delivery-related issues.

**Data Entry and Record Keeping**:Maintain accurate records of orders, invoices, and delivery schedules.
Update and organize databases, spreadsheets, and other relevant documents.
Generate reports as required by management.

**General Office Support**:Assist in various administrative tasks, including filing, scanning, and photocopying.
Provide support to other office personnel as needed.

**Qualifications and Skills**:

- High school diploma or equivalent; further education in business administration or related field is a plus.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Proficiency in using office software, including spreadsheets and word processing.
- Ability to multitask and prioritize tasks effectively.
- Problem-solving skills and the ability to handle challenges in a proactive manner.
- Professionalism, reliability, and a positive attitude.
- Experience in administrative or office support roles is preferred.
