**About the Organization**:
AIACA is an apex body that has been working on a range of issues, since 2004, to promote market-led growth for the crafts sector; and increased incomes and improved living standards of crafts producers. Over the past decade, AIACA has conducted policy research and advocacy on a range of issues including access to credit for crafts producers and environmental and health and safety standards for the sector; developed a crafts-certification system called the Craftmark; assisted sales and outreach of member producer groups and enterprises through commercial trade catalogues, trade fairs and order fulfillment; and assisted in developing and strengthening back-end production systems through a range of product design and business development services. We have worked with more than 150,000 artisans across 23 states in India.
**JOB SUMMARY / ROLE**:
A Coordinator-Market support & Logistics is responsible for overseeing the operations for Market support, exhibitions, stock, and Exim documentation etc. of different cluster at AIACA.
**JOB DUTIES & RESPONSIBILITIES**:
The role of **Coordinator-Market Support & Logistics** at AIACA will entail the following responsibilities:
**1. Inventory Management**
- Entry of goods received by groups and maintain record of receipts or purchase orders for AIACA as well as Projects and before & after exhibitions
- Documentation of challan
- Organizing & maintaining the store room and doing stock verification
- Entry of the stock in tally and update to accounts. In case of any discrepancy, acknowledgement from supplier & Supervisor.
**2. Documentation of Sales (Invoice, Challan) and payment tracking**
- Invoice generation against each order.
- Challan generation for moving goods (events, exhibitions, retail stores, etc.)
- E Way Bill Generation for Goods Movement. (Within State or Other State)
- Share of Invoices to Supervisor as required and submit a copy to accounts.
- Maintaining all entries in tally software.
- Dispatch of project group/Craftmark Groups products to scheduled events and exhibitions.
- Communication with stores for monthly sales and stock report.
- Communication with Project groups regarding sharing the sales and stock transfer receipts for verification.
- Monthly Sales Report to Supervisor.
**3. Preparing stock for Exhibitions (Project Groups/Craftmark Groups)**
- Pricing and tagging of goods
- Packaging, dispatch and tracking of the parcel
**4. Managing AIACA'a direct sales**
- Order production follow-up with vendor
- Reconcile received goods from vendors
- Order Packaging (Like:
- Polybag and Master Carton)
- After receiving the products from the artisans, check the products as per the standard set at the time of developing the sample or instruction given them.
- Separate the QC passed products and failed products during the inspection.
- Make the QC report including the detailed information of the shipment and send to the Supervisor accordingly
- Return the QC failed products to the artisans by generating Challan and Debit note on Tally.
**5. Export Documentation & Payment Clearance (Vendor & Freight Forwarder**
- Prepare all the required documents for export.
- Share documents to the Supervisor & freight forwarder.
- When I will receive confirmation received from the buyer dispatch the goods to freight forwarder warehouse or directly to the courier partner
- After receiving freight forwarder invoice Make CRF for their payment request to the accounts team.
- After custom clearance we will receive the shipping bill from freight forwarder side & submit to the shipping bill to accounts department.
- After receiving the balance payment from the buyer clear the due payment of the vendor.
**6. Marketing Support**: Supporting Marketing manager in managing marketing activities
**7. Project coordination**: Coordinate with consultants and groups for invoice/bill and related document work
**8. Other work**: Designing creative for various activities and events
