**Role Overview**

An administrative assistant at a regional office of Hyderabad will play a crucial role in providing support to the office's operations. Responsibilities typically include managing schedules, organizing files, and assisting with various administrative tasks and maintaining office efficiency, and contributing to the overall smooth functioning of the regional office.


**Roles and Responsibilities**
- Oversee day-to-day office operations and maintain a well-organized workspace. Manage office supplies, stationaries, equipment, and coordinate maintenance activities
- Manage the calendar for executives and schedule appointments and meetings. Coordinate meeting logistics, including room bookings and refreshments
- Arrange travel itineraries, accommodations, and transportation for staff as per the organization’s policy under the supervision of HR Manager
- Maintain and organize physical and program related documents, files and records. Assist in data entry and record-keeping tasks
- Greet and assist visitors to the office. Manage the sign-in process and ensure a welcoming environment. Monitor the CCTV cameras & be vigilant on the activities. Manage and maintain the camera records and backups
- Provide general administrative support to department heads and staff. Coordinate logistics, invitations, and follow-up activities

**Qualification & Skills**
- High school diploma or equivalent; additional qualifications in office administration are a plus
- Ability to prioritize tasks, manage time effectively, and maintain an organized workspace
- Clear and effective communication
- Should be proactive in taking on responsibilities and identifying opportunities to contribute to the efficient functioning of the office. Ability to adapt to changing circumstances and take on additional responsibilities as required
