Role Summary

WSP is currently seeking a full-time Project Coordinator to join our Mine Project Management - Minig business. Who will be closely working with Mine Project Management Canada.

The roles and responsibilities involve, monitor and control project progress, and support the Project Manager in achieving the project’s objectives throughout the project lifecycle. Use knowledge and experience to anticipate project requirements, take initiative in decision making and be able to pre-empt project issues while working independently from the Project Manager in relation to their assigned responsibilities.

Responsibilities***
- Integration
- Setting up and coordinating the project according to the approach outlined in WSP GP1, Project Delivery Manual.
- Coordinating project closing through archiving of project documentation and coordination of lessons learned documentation, client feedback documentation, sub-consultant evaluations and project experience profiles.
- Developing project execution plan for Project Manager review.
- Coordinating the planning and the execution of the project and monitoring performance according to the project execution plan and the contract terms and conditions.
- Scope and Schedule
- Coordinating the development of the project scope statement and WBS.
- Producing and maintaining client communications related to change orders.
- Coordinating logístical requirements for the project team such as travel and mobilisation.
- Developing and maintaining WBS and project schedule.
- Tracking against the schedule baseline.
- Developing and maintaining Earned Value Management progress.
- Cost
- Setting up and maintaining budgets and expenditures.
- Conducting project forecasting related to cost control.
- Interfacing with the accounting team to ensure compliance with client invoicing requirements, preparation of invoices and assisting with facilitation of timely payment.
- Following-up and meeting with Client’s to ensure a smooth AR cycle.
- A strong focus on keeping a low DSO on each project.
- Procurement
- Coordinating and monitoring project contracts and other documentation for sub-consultants, contractors and vendors.
- Identifying and mitigating against procurement risks.
- Preparing and monitoring BWOs
- Tracking equipment calibration certification.
- Project Administration & Coordination
- Coordinating administrative resources to assist with administrative tasks.
- Tracking requirements of the quality management processes or plans to ensure they are met.
- Developing and tracking HSSE requirements and associated plans.
- Coordinating project team communications, written and verbal, and documenting client meetings, interactions and activities.
- Producing regular progress reports for the client, the project team and other internal and external stakeholders.
- Coordinating data management and information transfer, including setting up and maintaining filing systems, document logs and action item list.
- Maintaining the document control system for development and presentation of client deliverables.
- Coordinating deliverables, including organizing word processing / technical editing.
- Assisting with the identification of project risks and maintaining the project risk register.

Key Competencies / Skills / Qualifications
- Required: Experience working with MS Project and/or Primavera P6 to produce detailed interdependent schedules and network diagrams.
- Required: Minimum of two years of experience in related project support in a multi-disciplinary environment.
- Required: Experience creating and monitoring project plans, schedules and budgets for multi-disciplinary projects.
- Required: Advanced skills in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and SharePoint.
- Required: College or University diploma.
- Desirable: Experience in identification of project risks and assisting with development and maintaining risk registers.
- Desirable: PMI Certification (CAPM or Specialist Designation) or equivalent.
- Flexibility to work overtime on occasion to help the team meet proposal deadlines as required.
- Strong knowledge of Microsoft Office with proficiency in Microsoft Word and the use of templates and styles.
- Proficiency in Adobe Acrobat and working knowledge of InDesign. Ability to prepare graphics such as proposal covers in InDesign working with prepared templates.
- Strong knowledge of Sharepoint or similar storage and collaboration platform. Knowledge of Sharepoint Online is considered an asset.
- The employee has the authority to stop work for themselves and/or others in an unsafe situation.
- For all other decision making, defer and adhere to the Authority and Responsibility Matrix.
- Defer to Project Manager, Project Director or other project technical team members if there are issues with data, budget, schedule, scope, deliverable, etc.
- Work is self-checked and can be reviewed by Project Manager, Project Director or other project technical team members as
