**Job Summary**:
**Key Responsibilities**:
- **Office Administration**:
- Manage day-to-day office operations, including organizing and scheduling appointments, meetings, and events.
- Order office supplies, equipment, and oversee maintenance of office facilities.
- Coordinate with external vendors for office-related services and repairs.
- **Documentation and Record Management**:
- Maintain and organize company records, files, and confidential information both electronically and physically.
- Prepare, review, and file various documents, reports, and presentations as needed.
- **Communication and Correspondence**:
- Facilitate clear and effective communication between departments and with clients as required.
- **Scheduling and Event Coordination**:
- Organize and schedule meetings, including preparing agendas and arranging necessary resources and facilities.
- Coordinate travel arrangements for management and other employees, including booking flights, accommodations, and transportation.
- Assist in planning and organizing company events, conferences, and team-building activities.
- **Financial Administration**:
- Process and track invoices, expense reports, and reimbursements in collaboration with the finance team.
- Manage petty cash and ensure accurate record-keeping of all financial transactions.
- Assist in budget tracking for administrative expenses and provide monthly expense reports to management.
- **HR Support**:
- Coordinate onboarding activities for new employees, including preparing onboarding materials, setting up workstations, and conducting office tours.
- Maintain attendance and leave records in coordination with HR.
- Help organize employee engagement and wellness activities as directed.
- **Operational Support**:
- Provide operational support to various departments as needed, such as data entry, preparing reports, and assisting with project management tasks.
- Conduct research and gather data as required for decision-making purposes.
- **Continuous Improvement**:
- Identify and suggest improvements in administrative processes to enhance productivity.
- Stay updated with new office management tools and best practices.
**Required Qualifications**:
- Bachelor’s degree in Business Administration or a related field.
- Proven experience (2-5 years) in a similar administrative or executive assistant role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
- Strong written and verbal communication skills.
- Exceptional organizational and time-management abilities.
- Attention to detail and ability to handle confidential information with discretion.
**Desired Skills and Competencies**:
- Ability to multitask and work independently in a fast-paced environment.
- Familiarity with basic HR processes and financial tracking.
- Strong interpersonal skills, with a proactive and service-oriented attitude.
- Knowledge of office management systems and procedures.
