**Job Title: Secretary to the Chairman**
**Position Overview**: The Secretary/Executive Assistant to the Chairman plays a pivotal role in providing high-level administrative support to the Chairman of the organization. This position requires exceptional organizational skills, discretion, and the ability to manage confidential information with integrity. The Secretary to the Chairman acts as a primary point of contact between the Chairman and internal/external stakeholders, ensuring smooth communication and coordination of activities.
**Key Responsibilities**:
1. **Administrative Support**: Provide comprehensive administrative support to the Chairman, including managing calendars, scheduling appointments, arranging meetings, and handling correspondence.
3. **Meeting Coordination**: Plan and coordinate meetings, conferences, and appointments for the Chairman. Prepare agendas, distribute materials, and take minutes as required. Ensure all logistics are arranged in a timely and efficient manner.
4. **Document Management**: Manage and maintain documents, records, and files related to the Chairman's activities. Ensure accurate and timely retrieval of information as needed.
5. **Confidentiality**: Handle sensitive and confidential information with the utmost discretion and professionalism. Maintain confidentiality in all interactions and communications.
6. **Relationship Management**: Build and maintain effective relationships with internal and external stakeholders, including board members, executives, clients, and partners. Facilitate communication and collaboration as directed by the Chairman.
7. **Executive Support**: Provide additional support to the Chairman as required, including drafting correspondence, preparing presentations, and managing personal tasks.
**Qualifications**:
- Bachelor's / Master degree in Business Administration, Secretarial Studies, or related field preferred.
- Proven experience as an executive assistant or secretary to senior management.
- Exceptional organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle multiple tasks simultaneously and prioritize effectively.
- Discretion and confidentiality in handling sensitive information.
- Strong attention to detail and accuracy.
- Flexibility and adaptability to changing priorities and environments.
**Salary**: ₹40,000.00 - ₹50,000.00 per month
