Personal Assistant to MD
- **Scheduling and managing meetings**: Organizing internal and external meetings for the MD, coordinating time zones, booking meeting rooms, and ensuring the MD’s schedule is balanced and effective.
- **Prioritizing tasks and appointments**: Evaluating the importance of meetings, calls, and other appointments to ensure critical commitments are met while maintaining flexibility.
- **Travel arrangements**: Booking flights, hotels, car services, and managing travel itineraries for the MD’s business trips
- **Correspondence management**: Drafting, reviewing, and responding to official correspondence, reports, or memos.
- **Liaising with stakeholders**: Communicating effectively with internal teams, clients, executives, and other stakeholders on behalf of the MD, maintaining a high level of professionalism and confidentiality.
- **Organizing files**: Maintaining both physical and digital filing systems for documents, reports, contracts, and sensitive information.
- **Preparing presentations and reports**: Assisting with the preparation of business presentations, reports, and documents for board meetings, shareholder updates, and internal briefings.
- **Maintaining confidentiality**: Handling sensitive and confidential information with discretion, ensuring that proprietary or strategic data is kept secure.
- **Supporting project timelines**: Tracking project progress, setting up timelines, and ensuring deadlines are met by coordinating with team members.
- **Task delegation and follow-up**: Helping the MD delegate tasks to appropriate teams or individuals, tracking progress, and following up to ensure completion.
- **Research**: Conducting research on various topics as needed, whether for meetings, presentations, or to support the MD's strategic decisions.
- **Organizing events**: Coordinating logistics for business events, client meetings, conferences, and company functions, including venue selection, catering, travel arrangements, and invitations.
- **Preparing meeting materials**: Ensuring the MD has all necessary materials, documents, and presentations in advance of meetings.
- **Taking minutes**: Attending meetings with the MD (either virtually or in-person), taking minutes, and ensuring actions are tracked and completed.
- **Expense management**: Managing and processing the MD's expenses, ensuring that they are within company policy, and coordinating with the finance team for reimbursements.
- **Budget tracking**: Supporting in managing budgets for projects, events, or personal business activities as needed, ensuring costs stay within agreed parameters.
- **Exceptional organizational skills**: Strong ability to prioritize tasks and handle multiple responsibilities at once.
- **Communication**: Excellent written and verbal communication skills.
- **Problem-solving ability**: The ability to identify issues and provide solutions quickly.
- **Discretion and confidentiality**: Handling sensitive information with integrity and care.
- **Tech-savvy**: Familiarity with office software (MS Office, Google Workspace) and communication tools (Zoom, Slack, etc.).
- **Time management**: Ability to manage time effectively, balancing various high-priority tasks.
