As an Event Planner, you will be responsible for planning and executing a wide range of events. Your primary focus will be on the detailed planning and coordination of all aspects of events, ensuring seamless execution and unforgettable experiences for attendees. Reporting to the Event Manager, you will play a key role in shaping event strategies, managing logistics, and delivering exceptional results that align with organisational objectives. Your creativity, organisational skills, and attention to detail will be essential in bringing the organisation’s vision to life and ensuring the success of our mission-driven events.
**Roles and Responsibilities**:
- Work closely with the Event Manager to understand the objectives and requirements of each event.
- Develop and execute comprehensive event plans, including timelines, budgets, and resource allocation.
- Ensure that all logístical details are effectively communicated and executed to guarantee seamless event operations.
- Generate innovative event concepts and themes that align with the organisation's goals and mission.
- Source, negotiate, and manage relationships with vendors, suppliers, and contractors to secure the necessary services and resources for events.
- Oversee contracts, payments, and deliverables to ensure compliance and quality standards.
- Supervise and delegate tasks to the event coordination team, providing guidance and support throughout the event planning process.
- Foster effective communication and collaboration among team members to maximize efficiency and productivity.
- Identify potential risks and develop contingency plans to mitigate them effectively.
- Manage event budgets, track expenses, and monitor financial performance to ensure events are delivered within budgetary constraints.
- Provide regular budget updates and forecasts to the Event Manager for review and approval.
- Liaise with internal stakeholders, including marketing, sales, and executive teams, to align event objectives with broader organizational goals.
- Gather feedback from attendees, sponsors, and stakeholders to identify areas for improvement and inform future event planning efforts.
- Proactively identify opportunities for process optimisation and efficiency gains to streamline event planning workflows.
**Requirements**:
- Strong organisational abilities with the ability to manage multiple projects simultaneously and meet tight deadlines.
- Excellent written and verbal communication skills, with the ability to interact professionally with diverse stakeholders and negotiate effectively with vendors.
- Keen attention to detail and accuracy in all aspects of event planning, from budgeting to scheduling to logistics.
- Creative thinking and problem-solving skills to develop unique event concepts and experiences that align with organisational goals and engage attendees.
- Ability to work effectively in a collaborative team environment, coordinating with event coordinators, managers, and other staff members to achieve shared objectives.
- Adaptability to changing circumstances and willingness to work evenings, weekends, and holidays as required during peak event periods.
