Admission Counsellor

**Primary Responsibility**:
- Create brand through proper marketing with the help of school management which translates into enquiries for different school programs
- Orient and guide new parents on the curriculum framework offered by the school.
- Answer incoming calls from parents and other callers.
- Provide information about the preschool's programs, curriculum, admission process, and facilities.
- Address inquiries and concerns effectively, ensuring a positive and informative interaction.
**Make Outbound Calls**:
- Proactively reach out to prospective parents to provide information about the preschool and encourage them to visit for a tour or open house.
- Conduct follow-up calls with existing parents for feedback and to ensure satisfaction.
**Appointment Scheduling**:
- Schedule appointments for school tours, parent-teacher meetings, and other events.
- Coordinate with the relevant staff to ensure smooth scheduling and execution of appointments.
**Maintain Database**:
- Update and maintain an accurate database of contacts, including parents' contact information, inquiries, and follow-up status.
- Keep records of calls and note relevant information for future reference.
**Handle Queries and Concerns**:
- Address and resolve parents' queries and concerns promptly.
- Escalate complex issues to the relevant department or higher authorities when necessary.
- Following the Admission process set by the school and Counselling parents to convert them into admissions.
- Converting leads to admissions
- Interacting with the parents to understand their problems and then closing the feedback loop by conveying the details to the teachers to better understand the students.
- Analyzing the previous enquiries and following the laid out processes to improve the school strength.
- Conducting parent orientations in coordination with academic coordinator so as to ensure that the parents know better about the school.
- Counsellor should have all the information about the academics, school activities, Montessori tools & knowledge of teaching aids, Experiential learning-all aspects of our school curriculum.
**Admission Counselling**:
- Meeting parents and discussing the entire curriculum from PG Jr to K2, developmental domains of early years, fee structure for each grade and showcasing the school facilities/infrastructure through a campus walk through to explain the salient features, USP’s and providing a competitive explanation of the unique aspects of Sakalya’s Early Year education experience.
- Assist parents in filling out admission forms and ensure all necessary documents are submitted.
- Talking to parents on the highlights of Sakalya’s early education, inviting for campus visits and events/fests/fairs and school functions. Working flexible hours for any admissions or marketing follow up.
- Ensuring admissions enrolments throughout the year. Responsible for increasing student enrolments and retention of students in the school.
**Relationship Building**:
- Build strong relationships with parents, ensuring effective communication throughout the admission process.
- Maintain a positive rapport with students, parents, and staff members.
**Event Coordination**:
- Assist in organizing and coordinating school events, open houses, and orientations.
- Ensure a welcoming and informative atmosphere during events.
**Data Management**:
- Input and manage data related to admissions, inquiries, and student information in the school's database.
**Administrative Support**:
- Assist in administrative tasks, such as filing, record
- keeping, and preparing reports.
- Collaborate with other administrative staff to ensure smooth daily operations.
- Command all the administrative staff/manpower
- Ensure safe embussing and debussing at school.
- Brief the bus driver and bus attendant regularly to ensure safety of children
- Ensure the accounting of school resources -stationery, furniture etc
- Have the contact of all handyman ready to tie up for any kind of maintenance and repair
**Admissions/Marketing Phone Calls and Follow Up**:
- Personally making phone calls to prospective parents and existing parents. Follow up on database generated by online leads, admissions expo’s and website inquiries.
**Admissions Process, Registration and Fee collection**:
- Following up on the admissions process, ensuring registration of the parent, ensuring admissions form is duly filled up with all supporting documentation attached, ensuring that the form is filed in the admissions dossier and ensuring proper collection of fees through instalments. Maintaining a database of fees collected.
**Admissions Exhibitions, Expo’s and Functions**:
- Attending local or national exhibitions for Admissions throughout the year on weekends or weekdays as required. Generating database of enquiries, meeting parents and admissions counselling. Travelling to the local or outstations venue independently or in a pair/team or in a group. Attending
