PURPOSE OF THE JOB:
Greet vendors, customers, job applicants and other visitors and arrange for transportation services when needed.

Direct visitors by maintaining employee and department directories. May operate a switchboard to route incoming calls and place outgoing calls. Maintain security by following procedures, monitoring logbook and issuing visitor badges.

KEY TASKS:

- Greet clients as soon as they arrive and connect them with the appropriate party
- Experience of dealing with the customer
- Answer the phone in a timely manner and direct calls to the correct offices
- Make travel arrangements and schedule meetings based on itineraries
- Complete procedures when Guests arrive and leave
- Deal with complaints or problems, receive service calls from customer of toll free no and follow up for the complaints.
- Answer telephone calls and take messages or forward calls
- Schedule and confirm appointments and maintain event calendars
- Check visitors in and direct or escort them to specific destinations
- Inform other employees of visitors’ arrivals or cancellations
- Copy, file and maintain paper or electronic documents and records
- Handle incoming and outgoing mail
- Maintain and manage incoming and outgoing couriers, telephone, letters etc.
- Travel arrangement, booking and management for the employees on business trip.

QUALIFICATION / EXPERIENCES / KNOWLEDGE:

- University Graduate / Post Graduate
- Minimum of 3-5 years’ experience
- Knowledge of MS Office and SAP (preferred)
- Preferable to have experience in MNC / Leading Indian Companies

LANGUAGE:
Required writing, reading and speaking language(s): English (must), Hindi and Guajarati
