Front Office Executive

Greeting and Welcoming Guests: Front office staff are responsible for providing a warm and friendly welcome to all individuals who visit the premises. This includes greeting guests, customers, or clients in person or over the phone and directing them to the appropriate department or person.
Managing Inquiries: Front office staff handle inquiries from visitors, customers, or callers, and provide accurate information or direct them to the appropriate resources. They must possess good communication skills and the ability to answer questions efficiently and professionally.
Handling Phone Calls: Front office staff manage incoming phone calls, route them to the appropriate person or department, take messages, and provide general information to callers. They should have excellent telephone etiquette and communication skills.
Scheduling Appointments: Depending on the industry, front office staff may be responsible for managing appointment schedules for clients, patients, or customers. They coordinate with staff members to ensure that appointments are scheduled efficiently and communicated appropriately.
Maintaining Reception Area: Front office staff ensure that the reception area or lobby is clean, tidy, and presentable at all times. They may also manage the distribution of visitor badges or access cards and maintain records of visitors.
Assisting with Administrative Tasks: Front office staff often provide administrative support to other departments, such as filing documents, organizing paperwork, data entry, and assisting with basic accounting tasks.
Handling Mail and Packages: Front office staff receive and distribute incoming mail, packages, and deliveries. They may also prepare outgoing mail and coordinate with courier services.
Operating Office Equipment: Front office staff are proficient in using office equipment such as printers, copiers, fax machines, and computer systems. They may also assist visitors or employees with basic technology-related issues.
Maintaining Security: Front office staff play a role in maintaining security by monitoring visitor access, issuing visitor badges, and ensuring that individuals entering the premises are authorized and comply with security protocols.
Resolving Customer Service Issues: Front office staff may be required to handle customer complaints or issues, escalating them to the appropriate department or manager when necessary. They should possess strong interpersonal skills and the ability to handle difficult situations with diplomacy.
