**JOB DESCRIPTION FOR RECEPTIONIST- DHAARA SPECIALITY HOSPITAL**
**YELAHANKA- BANGALORE 560064**
**Position Overview**: We are seeking a dedicated and customer-oriented Receptionist to join our hospital's front desk team. As a Receptionist, you will be the first point of contact for patients, visitors, and staff, providing a welcoming and professional demeanor. Your exceptional communication skills, attention to detail, and ability to multitask will contribute to ensuring a smooth and efficient operation of the hospital's reception area.
**Responsibilities**:
- **Patient and Visitor Assistance**:
- Greet patients and visitors with a warm and friendly attitude, creating a positive first impression of the hospital.
- Assist patients with registration and check-in processes, ensuring accurate collection of personal and insurance information.
- Provide clear directions and information about hospital services, departments, and facilities.
- **Telephone and Communication**:
- Answer and direct incoming calls to appropriate departments or personnel promptly and professionally.
- Handle inquiries, provide information, and transfer calls effectively, maintaining a courteous and helpful demeanor.
- **Appointment Scheduling**:
- Manage appointment scheduling for patients, efficiently coordinating with medical staff and ensuring optimal appointment availability.
- Update and maintain electronic scheduling systems, ensuring accurate patient information and appointment details.
- **Administrative Tasks**:
- Maintain a clean and organized reception area, ensuring a welcoming atmosphere.
- Verify and update patient records, insurance details, and other necessary documentation.
- Assist with general administrative duties, such as sorting and distributing mail, filing, and data entry.
- **Conflict Resolution**:
- Handle patient concerns, complaints, and inquiries in a calm and professional manner, striving to provide satisfactory solutions.
- Escalate complex issues to the appropriate department or management when necessary.
- **Team Collaboration**:
- Collaborate closely with hospital staff to facilitate efficient patient flow and communication across departments.
- Provide support to nursing and clinical staff, assisting with patient inquiries and administrative tasks.
- **Emergency Response**:
- Follow established protocols in case of emergencies, ensuring patient and staff safety and communication.
- **Confidentiality and Compliance**:
- Adhere to patient confidentiality and data protection regulations, maintaining the highest standards of ethical conduct.
- Stay updated on hospital policies, procedures, and compliance guidelines.
**Qualifications**:
- High school diploma or equivalent; associate degree or relevant certification preferred.
- Previous experience in a customer service, reception, or front desk role, preferably in a healthcare or hospital setting.
- Excellent verbal and written communication skills, with the ability to communicate effectively with diverse individuals.
- Strong organizational skills and attention to detail for accurate data entry and record keeping.
- Proficiency in using office software, electronic medical records (EMR) systems, and telephone systems.
- Ability to remain calm and composed under pressure, especially during busy or high-stress situations.
- Empathetic and compassionate attitude toward patients and visitors.
- Knowledge of medical terminology and basic understanding of hospital operations is a plus.
