As the Receptionist/Administrative Assistant, you will be the first point of contact for our customers and visitors, providing exceptional service and support while managing various administrative tasks. In addition to traditional receptionist duties, you will also be responsible for maintaining the daily ledger, managing our CRM system, and handling interactions with VIP clients.
**Key Responsibilities**:
- Greet and welcome visitors with a warm and professional demeanor, directing them to the appropriate person or department.
- Answer and direct incoming calls promptly and courteously, providing information and assistance as needed.
- Manage the reception area, ensuring it is clean, organized, and presentable at all times.
- Handle incoming and outgoing mail, packages, and deliveries, distributing them to the appropriate recipients.
- Maintain the daily ledger, recording financial transactions accurately and ensuring all invoices and payments are processed in a timely manner.
- Update and maintain the CRM system, entering new customer data, updating existing records, and generating reports as needed.
- Assist with general administrative tasks such as filing, photocopying, and data entry to support the smooth operation of the office.
- Coordinate meetings, appointments, and travel arrangements for staff members, as requested.
- Liaise with VIP clients and stakeholders, ensuring their needs are met promptly and professionally.
- Provide administrative support to various departments as needed, including preparing documents, presentations, and reports.
**Qualifications**:
- High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
- Proven experience in a receptionist or administrative assistant role, with strong customer service and organizational skills.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and CRM software (e.g., Salesforce, HubSpot).
- Excellent communication and interpersonal skills, with the ability to interact effectively with people at all levels.
- Strong attention to detail and accuracy, with the ability to prioritize tasks and manage time effectively.
- Discretion and professionalism when handling sensitive information and confidential matters.
- Ability to work independently with mínimal supervision, as well as part of a team in a fast-paced environment.
- Prior experience dealing with VIP clients or high-profile individuals is desirable.
